A Standard Operating Procedure (SOP) is a step-by-step guide in which companies define a standardized procedure for their processes (usually in critical areas), for example how they develop products or provide services.
If it is determined that activities involve known hazards that could result in damage or injury, companies should establish SOP patterns to record specific steps and reduce the hazard in the operation. A SOP template ensures easy reproducibility and standardization of a process.
A good standard operation procedures format helps every employee (no matter how experienced) to carry out individual work steps, is precise and easy to understand. In order for employees to be able to remember every detail of a procedure or precise sequence of work steps at any time, SOP templates should be carefully prepared by companies. Remember, SOP templates create measurable processes that provide structured instructions in case of problems or even emergencies.
With strict compliance requirements and in quality and safety management, good SOP templates standardize activities, guarantee consistency, quality and safety and provide a way to make processes measurable and to record any deviations. The records are in turn helpful in the implementation of corrective actions.
SOP procedures are designed in various industries for quality and compliance, routine or highly repetitive activities, high-risk tasks, new processes or business areas or training programs.
Companies often do not invest enough funds to create a standard pperating procedure format for their employees. Frequently cited reasons include the considerable amount of time involved, the limited number of trained employees who can write a SOP template, and the difficulty in tracking whether employees are using and executing it. However, incorporating SOP into a workplace brings significant benefits. This fact should encourage trainers and managers to invest the appropriate time to create an SOP format. Here are the 4 main benefits with SOP examples of why SOP should be used in the workplace:
1. Improves efficiency and quality
Fluctuations in work processes affect quality and work efficiency. Implementing an SOP format helps to prevent this scenario by helping to standardize all critical processes and reduce work fluctuations. SOPs also help to improve quality management systems (QMS) and prepare companies to pass ISO certification and meet legal requirements.
Common SOPs for food production include tasks such as hand washing, cleaning and disinfecting food contact surfaces and the correct packaging process. This applies to all employees working in the plant to ensure food safety and prevent contamination of food, ingredients and packaging materials.
2. Enables the training of employees
SOPs supplement training materials for the training of employees and serve as guidelines for the induction of new employees. Executives with relevant professional experience should be involved in the development of SOP procedures and steps. SOPs are an effective tool to complement and monitor face-to-face training, as employees can perform their tasks step by step at their own pace.
Common pharmaceutical SOPs cover tasks such as delivery, drug procurement and expiration date verification. A SOP format ensures that pharmacists keep an eye on protecting the safety of their patients and reducing unwanted omissions and errors in delivering appropriate medicines to patients.
3. Increases profitability
The following SOPs contribute to ensuring consistent and high quality products and services or delivery. They help to improve and maintain brand standards and customer satisfaction. This is important to ensure smooth business operations and overall profitability.
Common hotel SOPs cover tasks such as general housekeeping, bed-making, food preparation and pest control. This is important to maintain the quality and consistency of service and standards in a hotel and to ensure good customer care and experience.
4. Ensures a healthy and safe environment
SOPs describe in detail how work with hazardous materials, processes, equipment and under difficult conditions can be carried out safely. These procedures help to increase compliance with safety protocols to prevent unforeseen accidents and fatalities.
Common construction SOPs include tasks such as discussions about the tools or preliminary meetings, risk assessments and occupational safety analyses. This is essential to discuss and evaluate high-risk tasks that employees will perform and to develop ways to safely perform these tasks.

SOP templates come in different forms depending on purpose, industry and target group and can range from process instructions to checklists and flowcharts. However, they should all focus on the following three core areas to create an effective general SOP form:
This area provides a clear objective of what needs to be achieved and why the SOP is important. In this core area, the following questions are to be answered: "What is the target process?", "What needs to be changed in this process?" and "Why write an SOP template for this process? A clearly formulated purpose is to help employees understand why they should follow relevant SOP procedures and not just perform processes for the sake of the process.
SOP example (housekeeping in the office):
The SOP aims to outline the domestic services and to ensure that the workplaces are free of dirt and disorder. This is critical to maintaining a safe working environment and avoiding minor or major incidents.
This section describes which specific tasks are covered for the target group. This should refer to the persons who should adhere to the SOP and list the relevant tasks and responsibilities covered by the SOP. It may also be helpful to explain what does not fall within the scope of this particular SOP format and to refer to other documents that may be referred to in other tasks.
SOP example (housekeeping in the office):
This SOP is intended to assist facility management personnel in the coverage of the following tasks:
This SOP format does not apply to the identification of damage to equipment and repair work. Further information on these tasks can be found in the SOP incident report.
This report shall contain a list of detailed steps to be taken to ensure the effective accomplishment of the tasks referred to. The procedural steps should be written down in an orderly, concise and easily understandable SOP format. All steps should be followed by the staff
