Common questions
Lumiform supports e-signatures directly within the mobile app. Inspectors sign on-screen at the end of a form, and that signature is captured in the completed report. This creates a clear record of who confirmed the check sheet and when. For cargo inspections, this replaces the manual paper sign-off process and keeps the signature attached to the same report that contains photos, findings, and any defects logged during the inspection.
Completed inspection reports are stored in Lumiform and accessible via the desktop dashboard and mobile app. An operations manager can configure a summary view showing inspections completed, issues flagged, and corrective actions raised across any time period. A worker returning after four days can open the dashboard and see exactly what was checked, what problems were logged, and what was resolved during their absence, without digging through paper records or asking colleagues to reconstruct events.
Lumiform captures GPS coordinates when an inspector completes a form on mobile. This records where the inspection took place at the time of submission. For cargo inspections at specific bays, vehicles, or equipment points, you can also attach QR codes to assets. The inspector scans the code to trigger the correct checklist, confirming physical presence at that asset. Note that GPS location capture is available on mobile only and does not apply to inspections completed on desktop.
Lumiform does not currently offer automatic text extraction from photos to populate form fields. Inspectors can photograph a container or trailer and attach that image to the relevant form field, but the container number or license plate would need to be entered manually as a separate text field. If this is a mandatory field in your checklist, you can configure it as required so the form cannot be submitted without it, reducing the risk of missing data.
Lumiform’s asset identification uses QR codes, not RFID tags. Inspectors scan a QR code attached to a container, vehicle, or piece of equipment, and Lumiform opens the correct checklist for that asset automatically. RFID-based scanning is not a supported method within the platform. If your operation already uses RFID infrastructure for asset tracking, you would need to evaluate whether QR codes can run alongside that system or whether the gap is a blocker for your workflow.
Lumiform can trigger automated actions when a defect is logged during an inspection. Using Lumiform’s webhook functionality and its public API, a completed inspection or flagged issue can send data to an external system. If your ERP accepts incoming API calls, you can configure this connection so that a defect logged in Lumiform automatically creates a work order in your ERP. This integration capability is available on Enterprise plans. The exact setup depends on your ERP’s API configuration and will require technical input from your team.
