Trusted by companies worldwide to manage forklift inspections and improve safety

Paper forklift checks lead to critical gaps
Missed checks that cause safety risks
Disorganized records you can’t rely on in audits
Paper-based systems fall apart as workers change
How Lumiform works for forklift inspections
Build your forklift checklist once, deploy it across every truck via QR code, and get alerts if issues are flagged or a check is late. Every completed inspection is stored, signed, and retrievable.
1. Build your forklift checklist

2. Operators scan and complete the check

3. Faults trigger corrective actions

4. Review trends across your fleet

Popular inspection use cases for operations and safety teams
Industries that run forklifts and need daily checks done
Any operation running forklifts faces the same compliance pressure: daily checks must happen, get recorded, and be easy to retrieve when an assessor asks.

Logistics & warehousing
Your warehouse teams run high forklift volumes across multiple shifts. QR codes on each truck ensure the right checklist opens instantly, so pre-shift checks don’t slow down dispatch schedules.

Manufacturing
Your production floor supervisors use Lumiform to enforce forklift checks at shift start, so faults flagged during inspection trigger corrective actions before the machine re-enters the production area.

Food & beverage
Sites operating under HACCP or food safety audits need timestamped, signed forklift records on demand. Lumiform stores every completed check with operator signature and forklift identity attached.

Retail & distribution
Distribution centres with seasonal headcount use Lumiform to onboard temporary workers fast. New operators scan a QR code and complete their first forklift inspection checklist app-free, without needing system training.

Construction
Your site managers assign forklift checks to operators before equipment moves on site, so overdue check alerts flag which vehicles haven’t been inspected before the morning safety briefing ends.

Freight & transport
Your loading dock teams complete forklift checks via mobile, with offline use possible, and completed records are stored digitally and available for transport compliance audits.

Common questions
Each forklift gets a unique QR code. When a worker scans it, Lumiform opens the checklist with that forklift’s identity already filled in. The worker does not select a vehicle from a list or type anything. They go straight to answering the checklist questions. This eliminates a common source of errors on paper logs where workers fill in the wrong truck number, and it keeps the process fast enough that workers have no reason to skip it.
Yes. You set a deadline, for example 9 a.m. for the first shift check. If a forklift has not had a completed inspection by that time, Lumiform sends you an email alert. You only receive notifications for missed checks, not for completed ones. You can also set a second deadline, for example 1 p.m., to catch forklifts that missed their second daily check. Alerts are per forklift, so you know exactly which vehicles are overdue.
Lumiform’s standard workflow ties each inspection to a logged-in user account rather than a typed name. The preferred experience you described, where a worker scans a QR code, completes the checklist, and adds a signature without a login step, is worth raising directly with Lumiform’s team. They can confirm whether a web-based, no-login flow is configurable for your setup, or advise on the closest available option given your IT and accountability requirements.
Adding a new user takes a few clicks in the Administration section on the desktop. You enter their details, assign them to the relevant group or site, and they can start completing inspections immediately. Removing a user is equally straightforward. With 60 to 80 users fluctuating due to seasonal turnover, this is manageable without IT involvement. You do not need to raise a ticket or wait for a system administrator. The operations manager handles it directly from the dashboard.
Yes. Lumiform replaces the paper book entirely. Workers open the app or web browser, scan the QR code on the forklift, complete the yes/no checklist, and submit. Every completed check is stored digitally with a timestamp, the worker’s identity, and any flagged issues. Managers see results in real time on the dashboard instead of chasing paper logs. If a fault is flagged, a corrective action is triggered automatically so a technician gets notified and the issue is tracked to resolution.
Lumiform supports e-signatures on inspections. At the end of the forklift check, the worker signs directly on the screen. That signature is captured in the completed report alongside the timestamp and the forklift identity. This creates a clear record of who checked which truck and when, which is exactly the kind of accountability trail you need for an assessment. The signed report is stored digitally and can be retrieved at any time.
Lumiform stores data in the cloud and can provide documentation to support an IT risk assessment, including confirmation of data storage location. For organizations with formal IT compliance requirements, Lumiform’s team works through these requirements directly. SSO integration with global IT teams is available on the Enterprise plan, though if SSO setup delays your go-live, a manual user management approach can get you started immediately while SSO is configured in parallel. Contact Lumiform’s sales team to get the specific documentation your IT team needs.
When a seasonal worker leaves, you deactivate or remove their account. When the replacement joins, you create a new account in that same slot. Your seat count stays the same. You are not charged for the departing worker and the new worker simultaneously. With your headcount fluctuating between 60 and 80, you size your plan to the peak number you need active at one time, and manage additions and removals within that limit as your team changes.
