With the implementation of Lumiform, the renowned logistics company Rigterink has digitized its paper-based processes and significantly increased its efficiency in quality management.
Dennis Brepohl, Managing Director at Rigterink, reports on how the digital solution has helped them to optimize audits and damage reports and increase transparency. Find out how Lumiform has revolutionized the day-to-day work at Rigterink and what other plans the company has for the future.
This is Rigterink
As a renowned family business with headquarters in Nordhorn, Rigterink specializes in logistics services for customer brand manufacturers in the food industry. With various locations in Germany and an extensive fleet of vehicles, Rigterink offers customized solutions in the areas of storage and distribution.
Dennis Brepohl is Managing Director at Rigterink and has been with the company for many years. His responsibilities include optimizing internal processes and ensuring compliance with quality standards. As part of the digital transformation, Dennis has been instrumental in implementing Lumiform to digitize paper-based processes and increase efficiency in quality management.
Lumiform convinced us with its flexible modular principle and user-friendliness.
The challenge
Before implementing Lumiform, Rigterink faced several challenges: Many audits and checklists were paper-based, which resulted in a high administrative burden and a large number of physical folders that had to be maintained and stored. Dennis recalls: “At some point, we had so many folders that it became difficult to keep track of everything. Preparing and carrying out the audits was extremely time-consuming and inefficient.”
Another problem was the decentralization of the collected data. Information was location-bound and difficult to access, especially for the management, who could not always be on site. “It was a challenge to gather all the relevant information, especially when you weren’t on site,” explains Dennis.
The coronavirus pandemic further exacerbated these challenges. The need to handle many processes online became more urgent as physical visits and on-site inspections were restricted. This situation made it clear that a digital solution was needed to increase efficiency and optimize business processes.
Lumiform as a solution
In the search for a solution, Rigterink came across Lumiform. Dennis explains: “We looked at various digital solutions, but Lumiform won us over with its flexible modular principle and user-friendliness.” The ability to customize and digitize checklists and audits was a decisive factor.
The team was and is particularly impressed by the continuous development of the platform and the excellent support. “It’s reassuring to know that Lumiform is constantly introducing new features and improvements to help us,” adds Dennis.
Implementation
The implementation of Lumiform at Rigterink began gradually and purposefully. Dennis and his team started with internal audits to test and customize the platform. The flexibility of Lumiform allowed the team to tailor checklists to their exact needs.
Initially, two to three employees per location were trained, who then acted as multipliers. Training on how to use the platform was conducted on site to ensure that all employees understood and could use the application and all functions.
The first use cases included weekly audits and damage reports. “We quickly realized that the app is very intuitive,” explains Dennis. Employees could easily take photos of damage and send them directly to building services. “That sped up our process enormously,” he adds.
The implementation went smoothly and met with a positive response. The Rigterink team quickly recognized the added value of a digital solution: the ability to store data centrally and access it at any time was a major advantage. “It’s simply practical,” says Dennis. Everything is in one place and available at all times, which significantly improved efficiency and transparency in quality management.
It is reassuring to know that Lumiform is constantly introducing new functions and improvements to help us.
Results
The introduction of Lumiform at Rigterink has led to significant improvements in the efficiency and transparency of work processes. By digitizing and centralizing data, Rigterink has been able to save time and resources, while increasing the accuracy and traceability of reports and controls. “It’s reassuring to know that we have an overview of all open issues at all times,” adds Dennis.
With Lumiform, the Rigterink team benefits from a user-friendly app that simplifies communication and task processing. In the following, we will take a closer look at two particularly interesting use cases – damage reports and quality checks – as well as other important use cases.
Example: Damage reports
One particularly interesting use case is the damage reports that Rigterink processes. Before the implementation of Lumiform, the reporting and processing of damage was a lengthy process that required several steps and communication channels. Employees first had to document damage manually, then report it by phone or email and finally forward the relevant information to building services. This often led to delays and misunderstandings.
In contrast, the Lumiform app makes it possible to add precise descriptions and location information, which greatly simplifies processing. “The ability to take photos of damage and send them directly to Building Services has sped up our processes enormously,” explains Dennis. This has not only enabled Rigterink to shorten response times, but also to improve the accuracy and traceability of reports. The central data management system makes it possible to store all damage reports in one place and access them at any time.
The ability to analyze data and create reports has revolutionized our quality management.
Example: Quality control
Rigterink also performs regular checks with Lumiform to ensure compliance with quality standards. Before using Lumiform, these checks were often carried out manually and the results were stored in physical folders, which made tracking and analysis difficult.
With Lumiform , these checks can now be carried out digitally. The platform makes it possible to create standardized checklists and store the results centrally. This makes it much easier to track and analyze the data. “The ability to analyze data and create reports has revolutionized our quality management,” says Dennis.
Centralized data management allows management to access all relevant information at any time and maintain an overall view of all sites. This helps to identify potential problems at an early stage and take proactive measures.
In addition to damage reports and quality controls, Rigterink also uses Lumiform for other important use cases:
- Cleaning schedules: ensuring cleanliness and hygiene in the warehouse.
- Deliveries: Monitoring and documenting incoming and outgoing goods.
- Internal audits: Conducting internal audits to continuously improve processes.
- Vehicle fleet management: departure checks and protocols to ensure vehicle quality.
- Quality management: Uniform and regular implementation of quality checks and audits to ensure compliance with standards.
Outlook and recommendation
Rigterink plans to further expand the use of Lumiform and extend it to additional locations. “We have already found that Lumiform supports us in many areas and see great potential for further applications,” says Dennis. The company intends to use the platform for even more processes and further promote the solution within the company.
Dennis recommends other companies in the logistics industry to push ahead with digitalization and rely on user-friendly solutions such as Lumiform. “The ability to digitize processes and manage them centrally has revolutionized the way we work,” he explains. “I can only advise everyone to take the step towards digitalization.”
Lumiform would like to thank Dennis Brepohl for the interview. We are proud to be part of the digital transformation at Rigterink and look forward to continuing to support future projects.
