However, we found that the core plan lacks some features that are essential for inspections, highlighting how inspections are not a primary focus of the platform. Workflow automation, where you trigger corrective actions after a failed check, is only available as an add-on module for another €17 per month. In contrast, this is a core feature of Lumiform.
If you’re aiming to conduct inspections and audits, Lumiform comes with a more affordable rate, with all of the essentials included already. It has a lower cost per user, and it becomes even more cost-effective as teams scale. Formitize excels at managing customer relationships and work orders in one system, but since its features are less specialized for inspections, you would have to rely on add-ons or integrations for the full compliance process.
2. Ease of use
Ease of use is a major factor when you’re choosing software for day-to-day operations, especially if it will be used by both frontline employees on the go and office staff. A platform that’s quick to implement also helps you digitize processes and get value faster.
Formitize’s multiple modules span a wide range of business operations, but this creates a steeper learning curve:
Setting up CRM, job workflows, forms, and other separate modules typically requires more configuration. You’ll also need to plan which of them best fit your needs and define how they work together. Because of this, the platform takes time to learn, particularly for building custom forms or workflows.
Lumiform covers diverse use cases and industries as well, but implementation is more straightforward because you can adapt the same features to many different workflows without heavy configuration. If you want to conduct property inspections, pest control checks, and damage tracking, you can use the same features, rather than switching between modules. Its design also emphasizes ease of adoption, with AI speeding up every part of the inspection step, and even non-technical users can create complex workflows without IT help.
Because of this, most teams can get started right away without much training. As an example, Pacific Fire and Security completed rollout of Lumiform within just a few weeks, while using more than 100 of the system’s pre-made templates. For them, Lumiform’s ease of use was a standout, since their field engineers picked up the platform quickly and they were able to cut down much of the time spent documenting inspections and audits.
This difference shows up too in the mobile apps for both platforms. Both of them work offline and are geared towards frontline teams, but:
- Lumiform offers a more focused interface where it’s immediately obvious what tasks and forms need to be done. Frontline workers can then get started right away.

Another practical difference is the forms in Lumiform are highly dynamic. You can use the same inspection form across different sites and assets, and the questions adapt automatically. For example, if you select a building with an elevator, the form will automatically display the relevant elevator safety checks. This reduces the number of forms you need to maintain while making sure all steps get properly addressed. Forms can also be automatically translated into more than 60 languages, saving time for international teams.
From our analysis, we think that Formitize’s Smart Forms work well for data capture across different business processes, like customer management and invoicing. However, it has fewer capabilities compared to Lumiform, where AI-powered forms, multilingual support, and intuitive configuration remove much of the friction in creating forms. If your teams regularly create and maintain operational checklists, this translates into faster deployment, easier maintenance, and more consistent data across sites.

6. Training
If the same issues keep appearing in inspections and checks, then a possible reason might be a gap in employee knowledge. For example, workers might keep missing machine safety checks or complete cleaning procedures incorrectly. In these cases, the most effective solution is targeted training that helps prevent the issue from happening again. Employees also generally need regular refreshers, and new procedures might need to be communicated.
