What is Archibus?

Archibus started in 1982 as one of the original CAFM (Computer-Aided Facility Management) platforms. Following the 2022 merger of SpaceIQ, iOffice, and Condeco, the product now operates under Eptura and has expanded into a comprehensive IWMS (integrated workplace management system). Today, it helps organizations manage facilities, real estate, assets, maintenance, and workplace operations from a single platform. Facility inspections exist as a feature.

Feature comparison for facility inspections

When we evaluated both platforms, we focused on the core inspection workflow: creating checklists, completing inspections in the field, tracking issues, and generating compliance documentation. Here’s what we found.

1. Pricing: Dedicated inspection platform vs IWMS 

Both Lumiform and Archibus can be and are used for facility inspections, but we found that they are designed for very different purposes in that realm. 

Where Lumiform is a dedicated inspection and audit platform, Archibus is a fully integrated workplace management system (IWMS), where inspections are only one feature alongside asset monitoring, maintenance, workplace reservations, capital projects, and real estate management. This means that for conducting facility inspections, Lumiform gives you a more straightforward experience, with many features tailored for the frontline.

You can see this reflected in their pricing:

  • Lumiform offers per-user pricing, starting from €100 per month for 5 users (~€20 per user). As your team grows, volume discounts apply, so the cost per user keeps going down as you scale. 
  • Archibus is sold through custom quotes, with costs depending on the modules you choose, your organization size, and more. Organizations pay for the broader IWMS suite, even if you primarily use inspections. .

Many Archibus customers are large organizations, as implementation typically requires professional services for configuration, which adds to total cost. While this broader scope can be helpful if you’re looking to consolidate multiple facility management functions into one system, it also means that you may end up paying for capabilities you don’t need if you mainly want to conduct day-to-day inspections.

If you’re mainly focused on facility inspections, Lumiform offers more predictable pricing, and you avoid paying for unused features. Archibus provides broad facility management features, but this comes with additional costs and less specialized capabilities for inspections. Some organizations even use both together, relying on Archibus as their central IWMS while using Lumiform for inspections thanks to its mobile-first design and in-depth inspection workflows.

When you’re choosing a facility inspection platform, ease of use matters because it affects how quickly your teams can conduct inspections, train employees, and replace paper processes. This becomes even more important if you manage multiple facilities or deal with frequent staff turnover.

In Archibus, inspections are part of a much broader Integrated Workplace Management System, with multiple modules. Before you can fully benefit from the platform, implementation often involves configuring buildings, spaces, assets, maintenance workflows, user permissions, and, in many cases, CAD or BIM integrations.

In fact, the official learning path covers several stages of setup. This makes sense as a trade-off if you want to cover all aspects of facilities management, but it also results in longer deployments and higher implementation, training, and consulting costs than simply investing in a dedicated inspection platform. 

In comparison, Lumiform is designed to be fast to set up and easy to learn for both frontline teams and managers while offering in-depth inspection features. Customer reviews often highlight that the app has a short learning curve, with many organizations reporting that their employees required little training before completing inspections on their own since the interface is highly visual, and the mobile app guides users through inspections with a step-by-step workflow.

On top of this and unlike many other platforms, Lumiform incorporates AI throughout the entire inspection process, so there’s less manual work for your team at every stage. Its AI capabilities include:

  • Generating facility inspection checklists from a prompt instantly
  • Translating forms into 60+ languages for international teams
  • Photo validation to automatically verify if photos meet predefined compliance standards
  • Writing assistance for comments and a consistent and professional documentation

Archibus also offers a growing set of AI capabilities, such as AI-generated work requests, photo analysis for maintenance, and conversational workplace management. However, these capabilities are spread across the broader platform, whereas Lumiform’s AI is more tightly integrated into the inspection workflow itself, such as in tasks done directly on the frontline. As a result, we believe that organizations conducting frequent inspections may find that Lumiform automates more of the day-to-day steps.

Overall, we think Lumiform is the easier platform to implement and use for facility inspections: its focused design, AI features, intuitive form builder, and mobile experience allow you to start conducting inspections much sooner with less configuration. Archibus can be a good choice if you need a large, highly configured IWMS environment and are prepared for a heavier implementation project with additional costs.

3. Mobile experience

During our research, it emerged that another major difference between the two platforms is their mobile experience. When your teams conduct facility inspections, they would ideally use the mobile app to record findings on the go and capture photos, so it should work even in places without internet connection and be simple to access and use. 

As a full IWMS, Archibus offers multiple role-specific mobile apps, including the OnSite app for maintenance technicians, as well as dedicated apps for compliance surveys, condition assessments, asset audits, incident reporting, and other facility management tasks. 

While this does give you highly specialized tools, we think it may also hinder your processes, if your teams need to switch between multiple apps and modules all the time, increasing onboarding time and day-to-day complexity.

By contrast, Lumiform provides a single mobile app for diverse workflows. Built specifically for frontline teams, it provides a straightforward interface (a reduced version of the desktop version which is mostly deployed by management) that shows right away what tasks need to be done. 

With Lumiform, your team can easily take photos and equip them with annotations, use voice-to-text, and create corrective actions without leaving the inspection. The entire app is  designed for one-handed use during facility walkthroughs, whether you’re conducting preventive maintenance inspections, equipment audits, or fire safety checks.

While both platforms work offline on mobile, with data syncing automatically once internet is back, we think that: 

  • Lumiform focuses on making recurring inspections fast and straightforward through a single app. For facility inspections, Lumiform offers the more streamlined mobile experience: it’s easier to pick up for field teams, with minimal training requirements. 
  • If inspections are just one part of your facilities operations, Archibus’ specialized mobile applications provide deep integration with the rest of the IWMS, although you would likely have to download multiple modules, with additional steps.

4. Inspection forms and checklists 

When your team handles recurring inspections, you’ll likely create and update dozens of forms over time. With well-designed forms, your team can follow the process consistently, capture all of the necessary information, and get context when issues are found. 

Digital inspection forms are a central feature of Lumiform. The platform’s flexible form builder lets you generate forms instantly with AI or convert existing documents into digital checklists.

There are also 12,000+ pre-made templates covering compliance audits, equipment inspections, maintenance rounds, and other facility use cases. This helps you roll out new inspection processes quickly across your entire organization or make changes that immediately reflect.  

The drag-and-drop editor supports advanced logic, scoring, and photo fields with timestamps, which we believe are integral requirements for setting up successful inspection workflows. On top of this, forms are dynamic as well, adapting automatically based on previous answers or the asset you’re inspecting. For example, you can use the same preventive maintenance checklist for HVAC units across facilities, while displaying different steps once you enter the manufacturer, model, or equipment type. This reduces admin work while ensuring technicians follow the correct procedure every time.

Archibus also supports digital inspection forms and checklists for facility management, with logic included that can also be closely integrated with maintenance records, assets, and work orders within the IWMS. However, we found the form-building experience to be more traditional than Lumiform’s intuitively guided approach, with fewer ready-made templates and less emphasis on flexibility and rapid checklist creation. If you frequently update inspections or create checklists for different facilities, you might spend more time setting up forms, so changes become slower to deploy across sites.

Given these, we think that Lumiform provides a more intuitive no-code form builder, with highly adaptable checklists and logic specifically for inspections. Archibus offers inspection checklists too, but more extensive configuration is typically required. It remains a strong choice if you’re interested in a full facility management ecosystem, but for inspections, Lumiform delivers faster deployment and greater flexibility, even with scaling.

5. Corrective actions and follow-ups  

When issues are found during inspections, they should be communicated to the responsible person immediately so the resolution process can begin without delay. Both Lumiform and Archibus support this: you can connect tasks to inspection findings, assign responsibility, and monitor progress.

With Archibus, action management happens within the broader context of facilities management. This means that inspection findings feed into maintenance requests or work orders, and technicians can access asset histories, spare parts information, and maintenance documentation, with labor tracking all throughout. 

It also includes a BIM Viewer and Digital Twin capabilities so you can explore 3D building models, locate assets, and visualize equipment within your facility. These features are especially valuable if you’re already handling complex real estate portfolios or work in Autodesk BIM environments, although they need detailed setup and extend well beyond the needs of routine inspections. For example, here is what it looks like with its Revit integration:

Lumiform also offers robust corrective action handling as a natural part of the inspection process. During an inspection, a failed response can automatically create an action, which then gets assigned to the right person. This can even trigger new workflows. For example:

  • If a cleaning audit score falls below 85%, the platform can automatically require supervisor approval and schedule a follow-up audit for the next day. 
  • When repeated equipment failures are recorded, Lumiform can send refresher training to the responsible team.

From our research, both platforms allow you to manage tasks effectively after inspections. Archibus comes with a wider scope, including contractor scheduling, labor tracking, and BIM capabilities. However, Lumiform delivers fast, intuitive action management with a more focused interface and offers several options for workflow automation. If you prioritize facility inspections, this allows you to address issues efficiently without the overhead of a full IWMS.

6. Reporting and analytics

Inspection reports go beyond just documentation. They provide proof of compliance with photos and timestamps, help identify repeat issues, and give managers visibility they need to improve operations. The best platforms make this information easy to generate and analyze.

With Lumiform, reporting and analytics are geared towards inspections and audits, with many options for personalizing. Every completed inspection automatically generates a professional report with photos, timestamps, and corrective actions, which you can tailor based on compliance requirements. 

Real-time dashboards let you monitor overdue action and compliance trends, with drag-and-drop widgets. It’s also possible to start a chat with AI about your inspection data, with topics like how to address recurring issues. We think these features make inspections quickly actionable, without requiring much configuration or filtering through unrelated facility data.

For handling a diverse portfolio, Archibus provides reporting across the entire facility management lifecycle that combines inspection data with maintenance records, asset performance, space utilization, and compliance metrics, with AI chat as well. Managers can generate reports and dashboards to monitor facility operations across multiple buildings, which works well for long-term planning and portfolio management. While we acknowledge that this is highly comprehensive, inspection reports and dashboards may require more customization than in Lumiform to show the KPIs you want. 

If you want facility-wide reporting that covers maintenance, assets, occupancy, and inspections, Archibus provides analytical capabilities for this. However, if your reporting revolves primarily around inspections and operational compliance, we find Lumiform’s dashboards and automatically generated reports easier to use and more directly aligned with daily inspection management.

7. Employee training

To carry out inspections correctly, employees need regular training, from safety procedures to equipment standards and any updates to proceedings must also be communicated efficiently. Because of this, we believe connecting training closely with inspections makes the process much faster while resolving knowledge gaps.

Lumiform tackles this with a dedicated training module in which you can create courses with videos and quizzes, schedule recurring training, and automatically assign courses based on inspection results. For example, if multiple food safety inspections reveal the same hygiene mistake or a technician repeatedly fails an equipment inspection, Lumiform can assign refresher training automatically, which helps you address the root cause of issues so you don’t have to repeatedly correct the same findings.

On the other hand, Archibus does not include a dedicated employee training module for inspections. If you need digital training, you would typically integrate Archibus with a separate learning management system (LMS).

If your organization already relies on an LMS, this may not be a major consideration. However, many safety and compliance platforms are increasingly linking inspections with employee training to create a continuous improvement cycle. Lumiform follows this approach, leading to standardized inspections and allowing employees to access the right learning materials directly. 

Which is the best facility inspection tool for you?

In choosing between Lumiform and Archibus, we think a major consideration is the role inspections play in your operations. If inspections are a core operational process, a dedicated inspection platform like Lumiform often provides a faster, more intuitive experience, with features that are more specialized for this. An IWMS like Archibus optimizes a wider set of facility processes, including room reservations, labor tracking, and BIM-powered building reservations, with inspections as only one function. This naturally comes with more implementation, configuration, and ongoing administration.

Lumiform is the better fit if:

  • You conduct facility inspections regularly on the go. Field teams can use an intuitive app with minimal training, online or offline.
  • You want to deploy quickly across your teams. No IT involvement is required to create checklists and automate workflows. 
  • You mainly need inspection software, not a full IWMS. If your main goal is inspections, audits, compliance, and corrective actions, Lumiform provides a more focused solution so you don’t have to pay for IWMS features you won’t use.
  • Built-in team training would benefit your organization. Train facility teams on procedures within the same platform they use for inspections. 
  • You need professional, audit-ready reports with less admin work. Generate standardized reports ready for stakeholders after completing checks and inspections. 

Archibus might work well if: 

  • You want a full IWMS platform: Inspections are one part of broader facility management including space planning, lease administration, and workplace reservations.

One thing that’s worth keeping in mind is that It’s actually possible to use both platforms at the same time. In larger organizations, a dedicated inspection platform and an IWMS often complement each other. Many teams use an IWMS like Archibus to manage larger workplace operations while using a specialized inspection platform such as Lumiform for day-to-day inspections and audits. This lets each system focus on what it does best, while inspection data can be shared with other facilities management processes through integrations where needed.
