Summary

Lumiform is a specialized software for businesses with frontline teams to run inspections and audits at scale, while Manifestly is a workflow and checklist tool more commonly used for office-based tasks. For inspections and audits, Lumiform is the more practical option: it already comes with inspection-focused workflows and reporting out of the box, while remaining fast to deploy with a mobile app for field use.

If you’re aiming to digitize your inspections and audits, you’re likely trying to move away from paper forms, make it easier for your teams to capture data on site, and cut down on time spent manually preparing reports.  The challenge is that many software platforms have similar features, but they’re actually built for different types of work.

Lumiform and Manifestly are examples of this. At first glance, they seem to overlap a lot, with tools for digital checklists and automation. However, Lumiform is a dedicated inspection and audit platform for ensuring consistent standards even across distributed operations, and Manifestly serves as a general workflow software that you can adapt yourself to different business processes.

In this guide, we’ll focus on comparing how Lumiform and Manifestly handle inspection and audits. We’ll cover multiple areas, like mobile usability, reporting, and follow-up actions, so you can clearly see at the end what each platform is best for.

What is Lumiform?

Lumiform is a specialized inspection and audit software for businesses with frontline teams. Unlike general workflow tools, it’s built around the whole inspection lifecycle, from creating digital forms to triggering corrective actions and generating audit-proof reports. Managers gain real-time visibility through a centralized dashboard, while frontline teams use the mobile app to conduct inspections efficiently on the go, even without an internet connection.

Currently, Lumiform is used across diverse industries, including food production, manufacturing, hospitality, retail, and logistics. The platform enables mid-size and large companies to improve safety and quality at scale and uphold high standards across distributed operations, even when managers can’t oversee teams in person.

Some of its key features include:

  • Dynamic inspection forms with fields built for evidence collection
  • 12,000+ pre-made templates covering HACCP, cleaning, maintenance, vehicle inspections, and more
  • Dedicated mobile app for frontline use, so teams can capture data from anywhere
  • Automated workflows for addressing and resolving issues quickly
  • Inspection-focused analytics, with thorough documentation readily available for audits

What is Manifestly?

Manifestly is a checklist and workflow management tool focused on task coordination. It helps teams run recurring processes consistently, adding structure and maintaining quality across everyday operations. For each workflow, you can break it down into steps with assigned owners, reminders, and approvals and keep a detailed record of what was completed.

While Manifestly can support audits, its most common use cases include employee onboarding, HR and administrative processes, and change management. It is also primarily web-based, with a progressive web app (PWA) for mobile access, making it more geared towards desk workflows. With its no-code and low-code automation, it enables organizations across multiple industries to standardize tasks and remove manual steps.

Its key capabilities include:

  • Templates for standard operating procedures (SOPs) and business processes to speed up setup
  • Step-by-step guidance with embedded videos, images, and supporting documents for clarity
  • Workflow version control for a complete history of changes for audits
  • Automated task sequences with follow-up actions, notifications, and approvals
  • Summary dashboards that show task progress and team performance

In-depth comparison for inspections and audits

Next, we’ll look more closely at how each platform works, from their overall focus to form building and reporting:

1. Core focus: inspections vs. workflow management

Lumiform and Manifestly can seem like similar software tools at first: both let you build digital checklists, assign work, collect data, and track completion. However, they are built for different jobs, and this becomes obvious when you try to run inspections.

Lumiform was built from the ground up as an inspection and audit platform. Every part of the platform supports the inspection process, so you can get started quickly:

Lumiform workflow infographic
How inspections work in Lumiform

The app is also optimized for on-site use, with offline mobile functionality so teams can still conduct inspections even without an internet connection. Common use cases for it include:

  • safety inspections
  • quality audits
  • equipment checks
  • compliance assessments

Rather than simply ticking off completed tasks, as with a checklist app, Lumiform helps you capture evidence, identify issues, and make sure corrective actions are followed through. This gives you visibility into the condition of your sites. You also get the data needed to improve quality and consistently maintain standards, even across multiple locations.

Lumiform G2 review

On the other hand, Manifestly is a workflow and SOP management platform. It helps organizations coordinate business processes efficiently, via checklists and automated task assignments. Features like approvals, workflow versioning, and feedback systems keep routine work organized and accountable. Teams typically use it for processes like:

  • Employee onboarding
  • IT deployments
  • Marketing campaign launches
  • Finance and accounting tasks

While Manifestly can be adapted for inspections, it lacks several capabilities that you’d find otherwise in inspection-focused tools. For example, it doesn’t have a dedicated mobile app, and reporting focuses more on workflow completion rather than in-depth analytics. On its website, it also compares itself with other workflow management tools such as Jira, Trello, and Asana.

In practice, we think that if you build an inspection process in Manifestly, you’ll likely spend more time adapting workflows and filling in functional gaps, as inspections are not its primary purpose. As your inspection volume grows, that increases the risk of error and inconsistent documentation.

After all, inspections are more than completing a checklist: they require thorough records, with solid proof that issues were resolved. Lumiform is built around that complete inspection lifecycle, with controls at every step. Manifestly works well when your priority is making sure employees follow repeatable everyday procedures, but for safety, quality, and compliance inspections, Lumiform provides a more practical foundation as a specialized platform.

2. Mobile experience

For inspections and audits, mobile capability is critical to consider. Inspections often happen away from a desk, such as at factories, construction sites, or customer locations. Teams should then be able to capture findings quickly from anywhere, even when internet connectivity is unreliable.

From our research, we found that Manifestly doesn’t have a dedicated mobile app. Instead, it relies on a progressive web app (PWA) that runs through your mobile browser. This is typically enough when employees are completing occasional tasks or approvals away from their desks.

But if your teams are conducting inspections throughout the day, the browser-based experience can be less convenient compared to a dedicated mobile app. While Manifestly’s PWA allows you to access workflows on the go, some G2 user reviews note that the mobile experience can feel harder to use or slower when they’re using longer checklists or editing workflows, compared to desktop. For field teams, this can cause added friction or delays, especially as inspections get more complex.

Manifestly G2 review

In contrast, Lumiform comes with native iOS and Android mobile apps that are already geared towards frontline use. Inspectors can complete forms offline, with data automatically syncing once a connection is restored. The app also comes with a highly visual interface that allows field teams to see what needs attention right away and record findings, including photos with timestamps, comments, and signatures.

For inspection teams, having an efficient mobile experience is a fundamental requirement since it affects the speed and quality of data collection. If your team primarily completes SOPs, approvals, or administrative tasks, Manifestly’s browser-based mobile experience is sufficient. But for performing inspections on the go, Lumiform’s native mobile app is the more convenient choice, with features tailored for frontline use.

3. Ease of use

Ease of use is especially important for inspection software because inspections are often carried out by a wide range of employees, like frontline technicians, warehouse staff, supervisors, and auditors. They’re also often under time pressure, so the platform should be easy to learn and simple to navigate.

Lumiform is designed specifically for inspections, so the interface reflects how inspections are performed in practice. Forms, corrective actions, reporting, and automation are all built around a typical inspection process, reducing the amount of setup required before you can start working. Combined with its dedicated mobile app, this results in a short learning curve for frontline teams. In fact, ease of use is one of the most common themes in Lumiform’s customer reviews, and many teams have been able to implement their first inspections within days.

For example, Rigterink, a leading logistics company, digitized its paper-based inspections and audits with Lumiform, including quality controls, damage reports, and vehicle fleet management. The company was able to shorten response times for damage reports by three days, while improving reporting speed and traceability and gaining real-time access to their data.

Dennis Brepohl, the managing director of Rigterink, said: “We quickly realized that the app is very intuitive. That sped up our process enormously… The ability to analyze data and create reports has revolutionized our quality management.”

Manifestly is also generally easy to get started with for managing SOPs and workflows. Built-in templates, onboarding resources, and video tutorials help new users become productive relatively quickly.

As workflows become more complex, though, the experience can become less intuitive. Some G2 reviews mention that the app’s design feels less modern and it sometimes requires more learning than expected. For example, dashboard views can get more complicated once you’re managing several workflows. The browser-based mobile experience can also feel less fluid for teams completing inspections throughout the day, especially for long checklists.

Manifestly G2 review

When you’re managing larger inspection programs, these differences in usability can add up. Overall, Manifestly is user-friendly for desk-based teams, but it can be trickier to use for a high volume of checklists. Lumiform’s inspection-focused interface and dedicated mobile app provide a smoother experience for frontline teams and managers, with faster deployment and an intuitive experience even as your operations expand.

4. Inspection forms and checklists

Going beyond basic data capture, inspection and audit forms should be able to capture findings and evidence accurately, including photos with timestamps, while still being fast to fill out on the go and update.

Manifestly and Lumiform take different approaches to digital forms. Both of them incorporate AI for fast form creation, but since Manifestly is a checklist and workflow tool, its forms are built as workflow templates. Usually, you would:

  • Build a sequence of tasks
  • Define what information employees should give at each step
  • Attach instructions or reference material
  • Assign responsibility, then schedule and track the workflow

Here is an example video:

True to Manifestly’s purpose, this is excellent for SOPs where the goal is ensuring every step is completed consistently. When we tested out the platform, though, we found that even creating a basic form isn’t immediately intuitive and likely requires referring to tutorials. Form fields are also geared toward general data collection rather than inspections, lacking features such as barcode and QR code inputs. Compared to a dedicated inspection tool, logging data comprehensively might then take longer or need workarounds.

On the other hand, with Lumiform, forms are designed to collect structured inspection data and evidence in the field. Its forms come with a broader range of inspection-specific inputs, including barcode and QR code scanning, as well as asset references, the ability to pin findings directly onto building plans, and weighted scoring, which comes in handy for audits.

Even without extensive tutorials, teams can typically get started with creating forms quickly, with the option to add conditional logic and set up advanced automations. On top of this, you can access 12,000+ templates covering use cases like inspections, audits, safety checks, quality assurance, and compliance, while Manifestly offers 1,000+ templates that focus on business processes. These Lumiform features make deploying inspections much faster.

Based on our research, we think that both platforms provide capable form builders for their intended purpose. Manifestly is a good fit for documenting recurring operational procedures. However, for inspection and audit forms, Lumiform is more suitable, as it has richer inspection inputs and a much larger template library, with a drag-and-drop form builder that requires little training to use. All together, these allow you to quickly create and update inspection forms across your operations.

5. Corrective action management

After an inspection, it’s not uncommon for findings to require follow-up. This might mean assigning repairs, digging deeper into the root cause, or verifying corrective actions.

To handle this, Lumiform offers action management and workflow automation that are closely connected to inspection findings. When an inspector records a failed item, the platform can automatically create a corrective action, assign it to the appropriate person, set a deadline with notifications, and track the issue through to resolution. This can happen even when the inspection is in progress, so teams can take action quickly.

Beyond this, you can also:

  • automatically trigger follow-up inspections
  • require manager approvals before actions are closed
  • assign retraining when staff make repeated mistakes

This cuts out a lot of extra steps, reducing manual coordination and helping ensure issues are fully resolved, with faster response times. Corrective actions are also linked to the original inspection and affected asset or location, so teams get the full context they need to address issues efficiently.

Workflow automation is also a major component of Manifestly, but instead of creating actions from inspection findings, it automates predefined operational processes. For example, completing an onboarding checklist could automatically launch an IT setup workflow, or finishing a maintenance procedure could trigger a supervisor review checklist.

This makes Manifestly particularly effective for recurring processes where work follows a predictable sequence. Every workflow is tracked with activity logs, and you can easily see who completed each step and whether deadlines were met.

All in all, both platforms provide strong action management capabilities with reminders, approvals, and audit trail:

  • Manifestly excels at tracking and coordinating tasks across departments, with built-in tools for accountability and getting feedback for continuous improvement.
  • When it comes to inspections, however, follow-up is often driven by what is actually found in the field. Lumiform is better suited to these dynamic situations: inspection finding can directly trigger different actions even while teams are in the field, with fast access to the relevant evidence, asset information, and inspection history.

6. Reporting and analytics

Reporting is often one of the biggest bottlenecks for inspections. Reports might need to include photo evidence, signatures, approvals, and corrective actions, and gathering all of these data manually takes a while. But with inspection platforms, you can automate as much of this as possible.

Manifestly’s reporting is mainly centered on workflow execution. Dashboards track checklist completion, overdue workflows, and assignments, along with feedback from coworkers about any part of the process. There is also a thorough audit and versioning log.

For inspection purposes, though, its reporting is less comprehensive, with fewer options for customizing your analytics. You may have to rely on exporting to spreadsheets or BI tools, which adds more steps and potentially slows down decision-making. This reflects how Manifestly is not primarily built for inspections, but rather for general workflow management. Inspections and audits require a deep level of visibility, where you must be able to monitor compliance performance and compare several assets or sites for trends.

Manifestly G2 review

On the other hand, Lumiform offers in-depth analytics and reporting that is automatically geared towards audits. Instead of focusing on task completion, it gives you highly customizable dashboards with drag-and-drop widgets for filtering your data extensively. This allows you to uncover inspection trends, recurring failed questions, compliance rates, corrective action status, and risk hotspots.

Aside from this, you can generate professional PDF reports automatically based on your brand and auditing requirements. It’s also possible to ask AI questions about your inspection data and schedule dashboards and reports to be shared automatically. While Lumiform integrates too with Power BI for further analysis, its built-in reporting can handle most inspection and audit needs: you can get detailed reports instantly, then take prompt action.

To sum it up:

  • Manifestly’s reporting is well-suited to monitoring workflow completion and accountability, but it’s not geared towards inspection programs that require deeper analytics.
  • Lumiform offers more thorough reporting for inspections, with a focus on improving safety, quality, and compliance, not just confirming that inspections were completed. This way, you can extract actionable insights with less setup.

7. Training

As your inspection programs expand across multiple sites, being consistent with working practices becomes more important. Because of this, it’s useful for inspection software to include training capabilities, so employees are up-to-date on how to perform procedures.

Lumiform includes a built-in training module as an Enterprise feature, complementing its inspection workflows. Managers can set up courses with videos and quizzes, and staff can access the training materials directly on mobile. Training can also be linked to inspection results: if inspections keep showing that certain checks keep being done incorrectly, the relevant employees can automatically be assigned refresher training.

Since Manifestly is a workflow management software, it allows you to embed documentation, videos, images, and other reference material directly into workflows to guide employees. However, it doesn’t have a dedicated training module. For managing training, certifications, or competency records, you would typically need a separate learning management system.

If you already handle training with another tool, Manifestly’s documentation may be all you need. But if you want inspections to feed directly into corrective actions and employee development, Lumiform keeps all of these together in a single system, reducing admin overhead while keeping standards consistent across teams.

Which platform is right for your team?

Throughout this comparison, we’ve seen that Lumiform and Manifestly are designed for different operational needs, so the right choice depends on the type of work your team performs every day. If inspections and audits are central to your operations, Lumiform provides the more complete solution. For coordinating workflows and SOPs that don’t rely much on field use, Manifestly is a good option.

To sum it up, Lumiform is the stronger choice if:

  • You want out-of-the-box inspection features that are ready to use: Scheduled inspections, automated corrective actions, and specialized features, including AI for inspections, help you standardize recurring safety, quality, and compliance checks.
  • You plan to deploy across multiple teams or sites: Lumiform’s multi-site hierarchy and real-time dashboards give you centralized visibility and control, with the ability to drill down by location, equipment type, or team and manage complex permissions.
  • Your teams work away from their desk: Lumiform’s native mobile app works fully offline, which is essential for warehouses, construction sites, manufacturing floors, or remote locations.
  • You need thorough documentation and analytics for audits: You can readily download auto-generated reports for meeting regulatory requirements for standards like HACCP and IOS without additional formatting work.
  • You’re interested in employee training too: The built-in training module ensures teams learn procedures before inspections verify compliance, all within one platform.

Manifestly works well for teams that fit these scenarios:

  • You mainly deal with standard operating procedures and recurring office workflows: Manifestly turns SOPs into repeatable workflows for onboarding, HR, IT, finance, administrative processes, and other business operations.
  • Your top priority is coordinating tasks across teams: Role-based assignments, reminders, and recurring schedules with calendar view help ensure every step is completed by the right person.
  • You want a tool that integrates natively with Slack or Microsoft Teams: While Lumiform can connect with these through its API and webhooks,  Manifestly provides native integrations, which makes it a natural choice for teams that handle most of their work through Slack channels or Teams conversations.
  • Your work happens primarily from the office: If all work happens at desks with reliable internet, strong offline capability is unnecessary and Manifestly’s browser-based approach works fine.
  • You want to build workflows involving AI agents. Manifestly treats AI agents as workflow participants alongside human users,  allowing you to design AI-assisted processes, compared to Lumiform which offers ready-made AI features specifically for inspections.

Frequently asked questions

How do Lumiform and Manifestly compare for pricing?

Lumiform’s Professional plan starts at €100/month for 5 users and includes the core capabilities needed to run inspections and audits, including advanced inspection forms and specialized analytics. Organizations can then add Enterprise capabilities, such as approval dashboards and training, or purchase them as individual add-ons. Manifestly’s Business plan starts at €9 per user/month and is designed for general workflow and SOP management, while its Enterprise plan starts at €1,735/year for 10 users, with workflow versioning available in Enterprise.

Which platform is easier for frontline teams to use?

For frontline inspection teams, Lumiform is friendlier to use: it was built specifically for field work, with a dedicated mobile app, offline capability, intuitive forms, and inspection-specific features that help teams work even on the go. Manifestly is straightforward for managing SOPs and recurring workflows, but it isn’t as optimized for day-to-day inspections in the field.

Does Manifestly have a mobile app for inspections?

For field inspections, Manifestly does not offer a native mobile app. Instead, it uses a Progressive Web App (PWA), which allows users to access the platform through a mobile browser and even install it on some devices. This works well for many office and operational workflows, but some users report that the mobile experience is less responsive than desktop, particularly when working with more complex workflows. If your teams spend most of their day performing inspections on-site, Lumiform’s dedicated mobile app and offline-capable design generally provide a smoother experience.

How does Lumiform handle inspections at scale?

Lumiform works well for running inspections across different locations, teams, assets, or departments. You can organize inspections using hierarchical structures, standardize checklists quickly across your organization, and monitor completion, compliance, and recurring issues from centralized dashboards. It’s also fast to deploy, giving managers clear visibility into inspection performance while ensuring every site follows the same standards.

Can we use both platforms to see aggregate results with visual graphs?

Yes, but Lumiform makes this easier. Its dashboards let you visualize inspection completion rates, recurring findings, and compliance trends across all your locations without manually combining reports. Manifestly provides dashboards and workflow reports, but they focus on workflow execution rather than inspection analytics, so you might need to rely on exports or external BI tools to get the specific metrics that you want. If you regularly need to identify recurring issues across sites or stores, Lumiform offers the more practical solution.

Can Lumiform integrate with ERPs?

Yes. Lumiform supports bidirectional integrations with ERP systems and other business software, allowing data to flow both into and out of the platform. You can automatically sync assets, locations, employees, or work orders into Lumiform while sending completed inspections, corrective actions, and compliance data back to your ERP, helping eliminate manual data entry and keep systems up to date.
