Frequently asked questions
Yes. The Lumiform mobile app stores inspection data locally on the device. If your phone shuts down mid-inspection, the data persists in the app’s cache. Once the device is back on and connected, it syncs automatically. This matters on large infrastructure sites where connectivity is unreliable and device damage from construction equipment is a real scenario. You do not lose what was already captured. The Outbox section shows forms currently being sent or delayed due to poor connection, so you always know the sync status.
When creating an action during or after an inspection, you can add location context so that a supervisor on an eight-kilometre site knows exactly which excavation or staircase is affected, not just that something is missing somewhere. GPS location tagging is available on the mobile app. For large infrastructure sites where 40 workers are spread across a long stretch, an action contains enough information for the supervisor to act without a follow-up call to clarify where to go
Lumiform covers both structured checklists and open walkthroughs. You can build forms with defined checkpoints for hazard assessments, or use a more open format where the person filling it out adds observations as they go. When a non-conformance is identified during an inspection, an action is created on the spot. That action is assigned to a specific user with a description, priority, and due date. The assigned person receives a notification. Actions are tracked centrally and visible to managers without requiring a follow-up call or email chain.
Yes. Lumiform supports approval workflows at the action level, so an action cannot be marked as closed until the designated approver signs off on it. This is available as an add-on on the Professional plan and is included in the Enterprise plan. If your process requires that a health and safety manager reviews corrective actions before they are considered resolved, you configure this in the workflow settings. Field workers and supervisors can update the status and add comments, but closure requires explicit manager approval.
Lumiform sends automatic notifications when scheduled forms are overdue. You can configure who receives these notifications, so supervisors are alerted directly rather than relying on someone to manually chase them. This replaces the current situation where things get lost because there is no system to remind anyone. You can also assign forms to specific users, so the responsibility is clear from the start. Notification preferences are managed at the user profile level, giving you control over what each person receives and when.
In the Analytics and Forms sections, you can filter completed and scheduled inspections by project, site, or assigned user. This gives you a direct view of which projects have submitted their hazard assessment and which have not. You can identify the responsible person for each outstanding item. Notification settings allow you to send automatic reminders to non-compliant sites without manually tracking them down.
Yes. The Analytics section gives you an aggregated view across all completed inspections. You can filter by site, user, group, category, or time period to identify where problems concentrate. Average scores, overdue inspections, and incidents are summarised in the overview without requiring you to open individual reports. You can also export results for further analysis.
Yes. Lumiform supports role-based access control. Health and safety managers get full platform control. Supervisors get a limited feature set. Production-side staff and field workers can be restricted to responding to actions and logging observations, without access to form management or analytics. You configure this through Roles and Groups in the Administration section.
Lumiform integrates natively with SharePoint, OneDrive, Google Drive, Dropbox, and Box. When an inspection is submitted, the PDF report can be automatically stored in your connected cloud storage without any manual post-processing. This eliminates the office follow-up work after a site visit. For platforms that are not in the native integration list, you can use webhooks or API connections to push data automatically.
Lumiform integrates directly with Power BI and syncs audit data. For teams that need more control, database integrations with PostgreSQL, MySQL, and MS SQL are available, allowing you to query inspection data directly without transforming it through Excel first. This supports severity classification, incident tracking by type, and annual reporting on accidents by severity level. These integrations are included in the Enterprise plan and available as add-ons on the Professional plan.
