Yes. When an inspector flags a defect, Lumiform automatically triggers a corrective action and notifies the responsible person by email. That person receives the details of the issue directly, including any photos attached, without needing to log into Lumiform. They can be assigned by email address, so a building technician or external maintenance contact receives the action without holding a Lumiform license.

You can configure the form so that a photo is mandatory when an inspector selects a specific answer, such as a bad or poor rating. The photo requirement triggers conditionally based on the response. The app supports photo capture directly from the device camera during the inspection.

Lumiform generates PDF reports automatically after each completed inspection, and you can configure the report layout to include your company logo. A branded cover sheet with a large centered photo of the property, the report title, customer name, and address is a specific layout requirement.

Yes. You can configure Lumiform to automatically send a completed inspection report by email to any recipient, including external contacts who have no Lumiform account. Set this up in the template settings under “Send reports by email,” and the report goes out as soon as the inspection is submitted. Recipients receive the report directly in their inbox. They do not need to log in to any system to view it. You can also share reports manually from the mobile app immediately after submission.

Yes. Lumiform supports hierarchical entity structures that reflect how your facilities are organized. You can create levels such as regions, sites, buildings, pool areas, plant rooms, and individual assets, then link inspections and maintenance records to the correct location. This gives teams a clear structure for managing inspections across large portfolios while maintaining full traceability.
