Common questions

Will the app work offline and sync automatically once a connection is restored?

Yes. The Lumiform mobile app works fully offline on iOS and Android. Technicians complete inspections in basements, remote sites, or areas with no signal, and the data syncs automatically when connectivity is restored. The Outbox section in the app shows forms that are queued for upload. This is a hard requirement for maintenance teams working on plant floors, in tunnels, or at mining sites where mobile reception is unreliable. No manual intervention is needed to trigger the sync.

How do we verify the technician was physically at the equipment and not just filling it in remotely?

Lumiform captures GPS location data when inspections are completed on mobile devices. This gives you a location record tied to each submitted inspection. For point-specific verification at individual pieces of equipment, QR codes placed directly on the asset require the technician to physically scan the code at that location before the relevant form section opens. For operations where physical presence at each inspection point is a compliance requirement, the QR code approach provides the verification trail.

Can we use RFID tags instead of QR codes to identify which asset we’re at?

Lumiform currently supports QR codes to identify assets and locations. When a technician scans a QR code placed on a machine or piece of equipment, the correct form for that asset opens automatically. RFID tag support is not a documented feature of the platform. If physical verification at the asset is the core requirement, QR codes placed directly on the equipment achieve the same outcome: the technician must be standing at the machine to scan it and start the inspection.

When a defect is found, can a work order automatically go to the right person?

Yes. When a technician flags a defect during an inspection, Lumiform automatically triggers a corrective action and routes it to the responsible person. You configure the routing rules in advance, so the right person receives the task without anyone manually copying findings into Teams, WhatsApp, or a spreadsheet. The assigned person sees the action in their app, and they can update its status and add notes or photos. Managers track progress in real time from the dashboard without having to ask for updates.

Is it possible to change an inspection interval across all sites in one go?

You configure inspection schedules at the template level in Lumiform. If you need to change a smoke protection door check from monthly to every 14 days across every building in your portfolio, you update the schedule on that template and it applies across all assigned locations. You do not go into each building individually and change it one by one.

Can we pull up one asset and see everything that’s ever been done to it?

Lumiform’s Entities feature lets you create a record for each asset, whether that is a specific machine, vehicle, or piece of equipment. Completed inspections link to that entity, so you can view the inspection history tied to that asset over time. This gives you the repair and defect history per asset that paper and Excel cannot provide. For maintenance teams who need to know what happened to a specific unit before going on site, that record is accessible directly in the platform.

Can we log machine operating hours daily within the same form each time?

You can build a form in Lumiform that includes a numeric field for logging machine operating hours, and that form can be scheduled to recur daily. Each submission creates a separate timestamped record, so you build a continuous log of daily entries over time. The form stays consistent each day, and completed records are stored and retrievable in the platform.

Is there a dashboard showing what issues were found and resolved while a manager was away?

Yes, the Lumiform dashboard gives operations managers a real-time overview of completed inspections, open actions, and resolved issues across all locations. When an operator returns after four days off, they can see what checks were completed, what defects were flagged, and which corrective actions were resolved during their absence. The Analytics section lets you filter results by date range, so you can look specifically at the period you were away without scrolling through unrelated data.

If an auditor asks, can we instantly pull up completed inspections and prove they were done?

Yes, every completed inspection in Lumiform generates a timestamped, audit-ready PDF report automatically. The Analytics section gives managers a searchable record of all completed inspections, filterable by date, location, user, and form. When an auditor asks for maintenance records or compliance documentation, you pull the relevant reports directly from the platform rather than searching through paper files or Excel exports. For organizations with legal documentation obligations, this means the records are immediately retrievable and defensible.

When an issue is logged, can the API automatically create a work order in our ERP?

Yes, via Lumiform’s API. When a technician records a defect during an inspection, that response can trigger an automated workflow that sends data to your ERP system and creates a work order there. This removes the manual step of someone copying findings from a checklist into a separate system. API access is available on the Enterprise plan and as an add-on on the Professional plan. Your IT team would configure the specific integration with your ERP to match your existing work order process.
