Common questions

Is it possible for one person have sole control over creating and managing all forms?

Lumiform’s Administration and Forms sections are role-controlled, so you can designate a single administrator who holds full control over template creation, editing, scheduling, and the approval or verification process. All other users operate within the permissions that administrator sets. Field workers on mobile devices interact only with the forms assigned to them and have no access to the organizational settings.

How much can we restrict who sees which orders?

Lumiform’s Administration section lets you manage users, groups, roles, and categories with granular permission controls. You can organize users into teams and assign roles that determine what each person can access and action. For a multi-client operation spanning thousands of locations, this means each client group sees only the orders and forms relevant to them. Restrictions apply at the user and group level, so access is controlled by design rather than by trust.

Can each client be locked down so they only see their own orders?

Yes. Through Lumiform’s groups and roles functionality, you assign each client’s users to their own group with permissions scoped to their orders only. Users outside that group have no visibility into those forms or reports. For an operation with multiple clients and locations, this structure ensures each client gets their own contained view without any crossover into another client’s data.

Can a submitted form be held until someone internally approves it?

Yes. Lumiform supports an Approvals workflow as an add-on on the Professional plan and included in the Enterprise plan. A completed form can be routed to a designated internal approver before it clears for action. This directly supports the control-of-work scenario where a field worker submits a form, an internal person reviews and verifies it, and only then is the worker cleared to proceed in a specific area.

Do approvers have to be part of our company?

Yes. The Approvals feature in Lumiform routes submitted forms to a designated internal user within your organisation. The approver must be a registered user in your Lumiform account, which means they are part of your internal team. This matches the control-of-work requirement where an internal person verifies a submission before a field worker is permitted to proceed in a specific area.

Can we build a location database with individually configurable fields?

Lumiform supports Entities, which let you create and manage locations and assets within the platform. You can use this to store location-specific data that field workers see when they arrive at a site. For the specific requirement of individually configurable fields per location, such as cable type, number of cables, and cable side, confirm the exact field configuration options with Lumiform’s team to ensure the entity structure matches your data model before committing.

Does Lumiform capture GPS coordinates to confirm a worker was on-site?

Yes, on mobile devices. The Lumiform mobile app supports GPS location capture during inspections, so you can record that a field worker was at a specific location at a specific time. This addresses the verification problem directly: if GPS coordinates are captured on-site, you have reasonable confirmation the worker was physically present and did the work.

Can field workers attach photos per location as proof of service delivery?

Yes. Lumiform forms support photo uploads as part of the inspection or questionnaire flow. Field workers can capture and attach photos directly within the mobile app for each location they visit. This creates a documented record of service delivery per location, which supports both client reporting and invoicing. The mobile interface is designed to keep this process simple so workers in the field can complete questionnaires and upload photos quickly across a high volume of locations.

Will data entry and sync hold up reliably for field workers on-site?

Lumiform’s mobile app includes offline mode, so field workers capture data without needing a live connection. Completed forms queue in the Outbox and sync when connectivity returns. The app is built for operational use in the field, with a straightforward interface designed for high-volume, fast data entry. This directly addresses the problems of slow load times, crashing, and data not transferring correctly that have made other tools unworkable for field teams.

Can we pull raw data out for use in Power BI or Tableau?

Yes. Lumiform integrates directly with Power BI, syncing audit data for visualisation. For Tableau and other BI tools, database integrations with MS SQL, MySQL, and PostgreSQL let you build a relational dataset from your Lumiform inspection data, which you can then connect to any external tool. These integrations are available as add-ons on the Professional plan or included in the Enterprise plan. On top of Lumiform’s built-in dashboards, raw data access is supported.
