Common questions

If there’s no signal on site, does data save locally and sync later?

The Lumiform mobile app works offline on both iOS and Android. Technicians complete forms, capture photos, and scan barcodes without a connection. All data saves locally on the device and syncs automatically once internet connectivity is restored. There is no manual upload step required. This is a core requirement for field operations where Wi-Fi or mobile signal is unreliable, and it is built into the standard mobile app, not an add-on feature.

If I need to find a job sheet two months later, can I pull it up easily?

Yes. Every submitted form is stored in Lumiform and accessible from the desktop dashboard under the completed forms view. You can filter by date, template, user, or location to find a specific job sheet quickly. Reports are also auto-generated as PDFs at the point of submission. If you want a duplicate copy on your own system, you can set up automated export via Zapier or Make to push completed reports to SharePoint, Google Drive, or another storage location simultaneously.

Can we design the report layout ourselves, or are we locked into a fixed template?

You can configure report layouts within Lumiform’s report settings, including which fields appear, how sections are structured, and whether your logo and branding are included. For customers who require a fully custom-branded PDF that matches their own template exactly, including white-label layouts where the end client must not see a subcontractor’s branding, this requires discussion with the Lumiform team to confirm the level of customisation available on your plan before committing.

Is there a package for fewer than five users, or is that the minimum?

Five users is the minimum on paid plans, which start at $115 per month. There is no free plan and no package below the five-user threshold. If your team is smaller than five, you still pay for five seats. For larger teams, enterprise pricing applies with volume discounts. If you are evaluating for a small initial rollout before expanding, the five-user minimum is the starting point regardless of how many people you activate in the first phase.

Once a form is submitted, can we still go back and edit it?

Yes. Submitted forms can be reopened and edited in both the desktop and mobile app. On mobile, completed forms are found under the Done section, and you can view, edit, and share the report from there. On desktop, submitted forms appear under Forms and then Submitted. This is directly relevant for job sheets that need a supervisor to add sign-off details, or where a second engineer needs to complete a section after the first visit.

Can we send a completed form to a different engineer to add their part?

Yes. A submitted form can be reopened and assigned to a different user to add information. This supports job sheet workflows where one engineer completes the first visit, and a second engineer picks up the same document for the second fix without starting from scratch. The form carries through both visits as a single record. What each user can add or edit depends on how you configure roles and permissions within your Lumiform account.

Can a form be passed from one department to another, and sent back if something’s missing?

Lumiform supports multi-stage workflows using actions and conditional logic. A technician submits a form, which triggers an action assigned to a supervisor or another department for review. If something is missing, the reviewer can flag it, add comments, and reassign the action back to the original technician. This covers the core handoff pattern of technician submits, supervisor reviews, and form returns for correction before final approval appears in the system.

Can the technician submit to a supervisor first, before the final form appears in the system?

You can configure a workflow where a technician completes and submits a form, which triggers an action assigned to a supervisor or master technician for review and sign-off. The supervisor reviews the submission, approves it, and only at that point does the finalised report become visible to the wider team or customer. This requires setting up an automated corrective action workflow with an approval step, which is available on paid plans and configured from the desktop dashboard.

Can a single job move back and forth between technician, parts, and approval stages?

Lumiform supports multi-stage job progression through its actions and workflow system. A technician flags a parts requirement, which triggers an action routed to the parts team. Once parts are confirmed as in stock, a notification goes to the manager to reallocate the job back to the technician. The technician completes the work and submits for a final approval step. A single job record can move through these stages multiple times without being treated as a new submission each time.

Can we restrict which cars or jobs a technician is allowed to touch?

Yes. Lumiform lets you assign forms and tasks to specific users or groups. You can create user groups that correspond to technician teams and assign only the relevant templates or scheduled tasks to each group. A technician outside that group will not see jobs they are not permitted to access. This covers scenarios where certain vehicles or job types are restricted to qualified or authorised technicians only, without requiring any manual filtering on the technician’s side.
