Common questions

Can drivers capture proof of delivery with photos and signatures on their phone?

Yes. Drivers can complete a delivery inspection, take photos, collect a recipient signature, and submit the report directly from the Lumiform mobile app. Everything is stored together in a timestamped delivery record.

When a driver submits a form, does it come through in real time?

Yes. When a driver submits a completed inspection, the report is immediately available on the desktop dashboard. Managers can see submitted forms as they come in, without waiting for drivers to return to the office or manually forward documents. If you have configured automatic report delivery by email, the report also goes out to the relevant recipients the moment the form is submitted. There is no batch processing or end-of-day delay.

If a driver notes damaged goods or missing items a delivery check, does that get flagged so we can see it?

Yes. You configure the form so that a negative answer, such as a ‘no’ triggers a flag that appears in the inspection results. Managers can see flagged responses in the dashboard and in the completed report. You can also set the form to automatically create a corrective action when a specific answer is given, so the issue is tracked from the moment it is recorded rather than buried in a submitted document.

When a driver records an issue, can customer service or operations get notified automatically?

Yes, if you configure the form to trigger that notification. When a driver records an issue, Lumiform can automatically create a corrective action and route it to the relevant person, in this case your customer service or operations team, without any manual step. This replaces the current situation where defects go unreported or get lost in an Excel tracker with no reminder management and no automatic follow-up.

Is it possible for drivers to use the forms in their own language?

Yes. Lumiform supports over 60 languages and can automatically translate form content using AI. Drivers see the form in their preferred language so multilingual teams can complete inspections consistently without maintaining separate versions of the same template.

Can customers receive a copy of the completed delivery record automatically?

You can configure the form template to automatically email the completed report to a customer or any external recipient the moment the inspection is submitted, with no manual step required. Alternatively, after submitting a form on mobile, the driver or manager can use the share function to send the report directly from the device via email or other channels. For rental handovers or delivery confirmations, the automatic send option means the customer receives their copy at the point of handover without anyone needing to remember to forward it.

Can we print a completed checklist directly from the app to store it as a document?

Completed inspections generate a PDF report automatically. You can download that PDF from the desktop and print it for physical filing if needed. The app itself does not print directly, but the PDF is available immediately after submission. If you connect Lumiform to storage systems like OneDrive, completed reports can also be stored there automatically, removing the current step of scanning and manually filing paper documents
