Can we assign different point weights per question so the total score calculates automatically?

Yes. Lumiform supports weighted scoring at the question level, so you can assign different point values to individual questions and the platform calculates an aggregated total score automatically as the audit is completed. This means a supplier ends up with a final score, such as 80 out of 100 points, without any manual calculation. The scoring configuration is set up in the form builder, and the result appears in the completed report.

Can we customize the report format, or is it a fixed template?

Report formats in Lumiform are configurable. You can adjust what appears in the output, including scores, findings, photos, and question-level detail. Reports are auto-generated as PDFs when an inspection is submitted, and they can be sent automatically by email to internal or external recipients. If your audit reports require a written summary of findings alongside scored sections, that content can be captured within the form and included in the output. For advanced layout customization, the sales team can clarify current scope.

Can we track all open actions across a multitude of reports without opening each one?

Yes. Lumiform gives operations managers a consolidated view of all open actions across every submitted report. You do not need to open individual reports to check what is outstanding. Actions are tracked centrally with assignees, due dates, and status visible in one place. This directly addresses the problem of pulling out dozens of reports to check what is still open. Overdue items are flagged, so your team can manage follow-up without manually reviewing each audit.

Do suppliers need a full account, or can they access only what’s assigned to them?

Suppliers do not need full platform access. Lumiform supports external user access where suppliers only see what has been assigned to them. Internal QM and procurement staff hold full admin accounts with oversight across all activity, while suppliers interact only with their assigned forms or actions. This keeps the supplier-facing experience simple and avoids exposing one supplier’s data to another. The exact access model for external users, including whether a login or email-based access applies, is worth confirming with the sales team for your specific setup.

Can one user have read-only access in one area and write access in another simultaneously?

Yes. Lumiform supports role-based access control, which means a single user can hold different permission levels across different areas. For example, a user from one organization can have read-only access to another organization’s completed reports while retaining full write access within their own area. This is directly relevant to multi-entity structures where independent parties need isolated spaces but occasional cross-visibility at a controlled level. The exact configuration for complex multi-entity setups is best scoped with the Lumiform team during onboarding.

When we assign an action to a supplier, do they get notified by email automatically?

Yes. When an action is assigned in Lumiform, the recipient receives an automatic email notification. The supplier does not need to be logged into the platform to receive the notification. They can view the action details, see the deadline, and respond with proof such as a photo or uploaded document. This removes the need to chase suppliers manually or manage corrective actions through separate email threads. Notifications fire at assignment and can also trigger reminders as deadlines approach.

If we need more users mid-year, can we upgrade without restarting a contract?

Yes, you can add users and upgrade your plan mid-year without restarting your contract. Lumiform’s pricing is flexible enough to accommodate growth as your audit volume scales. This matters if you start with a small team and need to bring in additional users as the program expands. Paid plans start at $115 per month with five users included, and enterprise pricing applies for larger teams. For exact terms on mid-year upgrades and how additional users are billed, the sales team can provide a written quote.

Can audit data sync automatically to an external system so we can trigger workflows from it?

Yes. Lumiform supports webhooks and integrations that allow completed inspection data to flow automatically into external systems. Using webhooks with tools like Zapier or Make, you can trigger workflows the moment an inspection is submitted. For example, if a supplier indicates in a form that a lab test was not completed, that event can automatically trigger an alert to your QM team. Direct integration with Google Sheets is also available, allowing you to sync data and build downstream automations without manual export steps.

Can completed form data synchronize in real time to Google Sheets?

Yes. Lumiform can synchronize completed form data to Google Sheets. Using webhook-based automation through tools like Make or Zapier, each submitted inspection can automatically add a row to a connected spreadsheet.
