Common questions

Is there a limit on how many zones or sites one person can audit?

No. Lumiform places no limit on the number of zones, sites, or entities a single user can audit. One person can run inspections across all 66 zones, or across multiple facilities, with no per-site or per-zone restrictions built into the platform.

What is the difference between Lumiform’s mobile app and desktop platform?

The mobile app on iOS and Android, including tablets, handles the operational work: completing inspections, capturing photos, flagging deviations, and submitting forms. It works offline, so connectivity on the shopfloor is not a blocker. You can fill out forms on desktop as well, but it mainly handles configuration: building templates, managing users, scheduling forms, and analyzing results.

If we’re transitioning from paper, can we analyze audit results and track corrective actions digitally with Lumiform?

Yes. Every completed inspection generates structured data that feeds directly into Lumiform’s analytics dashboard. Operations managers can filter results by site, user, date range, or category, and track which findings are open, resolved, or overdue. Corrective actions are assigned with due dates and responsible persons, so nothing sits in a spreadsheet or chat message. The shift from paper means findings are timestamped, searchable, and comparable across audits.

Can we deploy one standardized checklist from headquarters so individual sites aren’t each building their own version?

Yes. Administrators create and manage templates centrally from the desktop. Those templates are then assigned to specific sites, groups, or users. Field teams see only the forms relevant to them and complete the standardized version. Individual sites cannot modify the central template unless you configure that permission. This eliminates the problem of every site building its own version of the same checklist, which produces inconsistent data and makes cross-site comparison unreliable.

If someone flags a deviation on-site, does a corrective action workflow automatically follow, with due dates, a responsible person, and notifications?

Yes. When a field team member flags a deviation during an inspection, Lumiform automatically triggers a corrective action. You configure the routing in advance: who gets assigned, what the due date is, and what notifications go out. The responsible person receives an alert, can upload documents, add comments, and update the status from their mobile device. Managers track all open actions from the desktop dashboard.

If someone answers “no” on the form, can we require them to explain why and attach a photo before moving on?

The form builder supports conditional logic. You can configure a question so that a “no” answer triggers a mandatory text field requiring a written explanation, a required photo attachment, or both, before the user can proceed. This applies at the individual question level, so you can set it selectively across your checklist rather than applying it globally. The photo and explanation are captured in the inspection record and appear in the generated report.

When someone signs a completed checklist, does the system log the date, time, and location automatically?

Lumiform captures e-signatures as part of the inspection record. The date and time are logged automatically at the point of signing. On mobile devices, GPS location is also captured, so you have a record of where the inspection was completed. This gives you a verifiable audit trail showing who signed, when, and from which location.

If a scheduled audit isn’t completed, will Lumiform automatically send a follow-up reminder?

Yes. Lumiform sends automated reminders for scheduled inspections that are due or overdue. You configure the schedule and assign it to specific users or groups. If the inspection is not completed by the deadline, the system sends a follow-up notification to the responsible person. Managers can also see overdue inspections flagged in the dashboard, so there is a visible record of what has not been done.
