Common questions

Can a manager visit a store, collect data with Lumiform, and get a structured report tied to that visit?

Yes. A manager opens the relevant checklist on their mobile device or tablet, completes it on-site, captures photos linked to specific questions, and adds notes throughout. When the inspection is submitted, Lumiform automatically generates a PDF report tied to that specific visit, including all responses, photos, and scores. The report is ready immediately and can be reviewed on-site with the store manager or shared digitally.

If we have issues like fire safety risks across multiple stores, can Lumiform help us gain visibility and accountability for this?

Yes. You can deploy a fire safety inspection checklist across all stores within hours. Store managers or field teams complete inspections on mobile, and results feed into a live dashboard immediately. Operations managers see which stores have completed checks, which have flagged risks, and which are overdue. When an issue is found, Lumiform triggers a corrective action assigned to the responsible person, with tracking through to resolution.

Can we see a graph showing which stores aren’t following a procedure across all locations?

The Analytics section aggregates inspection results across all locations and lets you filter by question, store, date range, or category. You can see, for example, that across 50 stores visited, 20% failed a specific procedure check, displayed as a visual chart. Results are broken down per question and per location so you can identify exactly where the gap is and which stores are underperforming on a specific standard. You can also download the data for further analysis.

Can we set tasks to repeat automatically and remind the team on-site when they’re due?

Yes, you can schedule recurring inspections or task-based checklists at daily, weekly, or monthly intervals. When a form is due, the assigned team member receives an automatic notification reminding them to complete it. If the form is not submitted by the deadline, it shows as overdue in the manager’s dashboard. This works for cleaning plans, opening checklists, safety rounds, or any recurring operational check.

When we assign a task to a store, what does that notification actually look like on their end?

The store team member receives a notification via the Lumiform mobile app and optionally by email, showing the task assigned to them, a description of what needs to be done, any photos or context attached, and a deadline. They can open the task directly from the notification, complete the required action, add a photo as evidence, and mark it resolved. The assigning manager can see when the task is opened, updated, and closed, without needing to follow up manually

Are photos linked directly to the question they were taken for, and can I check them later?

Photos are captured or uploaded directly within the specific question they relate to, so every image is tied to that checklist item in the report. In the completed report, there’s the option to have each photo appear alongside the question it was taken for. Filtering and searching past inspections is available through the Analytics and Forms sections, where you can filter by location, date, template, or category to find specific completed audits and their associated photos.

If a required item isn’t in a store, can the form automatically hide the questions related to that?

Yes. Lumiform’s form builder includes conditional logic. You can configure a question such as “Does this store have a sample wall?” and set all subsequent questions in that section to only appear if the answer is yes. If the auditor selects no, those questions are skipped automatically. You can also trigger a corrective action at that point, for example prompting the store to order the missing item, so the absence is recorded and followed up rather than just skipped silently.

Can store managers fill out forms without seeing audit results from other locations?

Yes. Lumiform’s roles and permissions system controls what each user can see. You can configure store manager accounts so they only access forms and results relevant to their own location. They cannot view inspection data from other stores. Operations managers and area managers retain visibility across all locations through the dashboard.

Can we search for a store by name and see all past visits, dates, and main findings?

You can filter completed inspections by location, date, and template in the Forms and Analytics sections. Setting up your store locations as entities in Lumiform lets you access inspections tied to a specific store, see when each visit occurred, and review the results. The Analytics section shows scores, overdue forms, and flagged issues per location over time.
