Used by operations, safety, and facility teams managing recurring checks across sites.

How unowned findings keep facility risks open
Findings get reported but never solved
Evidence gets lost when work is split
Coverage breaks when the right person isn’t there
How Lumiform works for school facility inspections
Build structured checklists without IT support, complete them on mobile in the field, route issues to the right person automatically, and track resolution across every building from a single dashboard.
1. Build your inspection checklist

2. Complete checks on mobile in the field

3. Route flagged issues to the right person

4. Track trends and prove compliance

Faster resolution across every campus check
When findings are assigned with evidence and deadlines, facility teams close issues sooner and reduce repeat failures across sites.

Industries that rely on structured facility inspections
When multiple sites share the same risk profile, structured inspections create visibility and ownership so problems don’t reopen and compliance stays provable.

K–12 School Districts
Standardize checks across schools, so hazards are captured with proof and repairs are owned and closed before the next day starts.

Higher Education
Track inspections by building and team, so recurring maintenance gaps become visible early and large campuses stay inspection-ready.

Local Government & Municipalities
Route issues to the right department with evidence, so public buildings stay compliant without chasing updates across email threads.

Facilities management
Your facilities teams inspect ladders across multiple client sites on recurring schedules. Lumiform lets your technicians reuse asset records per site and log defects with corrective actions assigned on the spot.

Property & real estate management
Assign actions with photos to internal staff or vendors, so expectations are clear and completion is documented without extra coordination.

Childcare & early years
Record daily safety checks with timestamps and evidence, so regulators see a clear trail and recurring risks get fixed fast.

Common questions
Lumiform is a proper native app available on iOS and Android. Field staff download it from the App Store or Google Play like any other app. It is not a browser-based web view. This matters in practice because native apps handle offline data capture, photo uploads, and GPS reliably in the field. Logging into a website on a mobile device during an inspection creates friction. The native app avoids that entirely and works the way field teams expect a mobile tool to work.
Yes. Operations managers build templates once on the desktop, and every inspector in the field sees the same form in the same order. This eliminates inconsistency across inspectors. You can include required fields, conditional logic, and photo capture to enforce consistent standards across every inspection. Once a template is published, field teams cannot skip sections or reorder steps. Everyone follows the same process every time.
Yes. Two users can work within the same form simultaneously. This is directly relevant for inspection teams that work in pairs, for example one colleague moving through a building area by area while another monitors or documents remotely. Both can contribute to the same inspection record in real time. This removes the need to consolidate notes from two separate sources after the fact and keeps all data in one place from the start.
Yes, as long as the field worker has an active connection. Data syncs to the platform as the inspection progresses, so the office can see completed sections before the full form is submitted. If the field worker is in an area without connectivity, data is stored locally and syncs automatically once the connection is restored. The office will see the full data set after sync. There is no need to wait for a paper form to come back or for someone to manually enter results at the end of the day.
The Lumiform mobile app works offline. Field staff continue completing the inspection normally, and all data is saved locally on the device. Once the device reconnects to a network, the app syncs everything automatically. No data is lost and no manual re-entry is needed. This is specifically why a native app matters over a browser-based tool. A browser-based solution loses offline capability entirely in a basement or any area without connectivity, which makes it unusable for real facility inspection work.
You can configure a form so that a photo is required when an inspector selects a specific answer, such as a bad or poor condition rating. The inspector cannot proceed or submit without capturing that photo. You can also restrict the field to live camera capture only, preventing upload from the device gallery. This protects inspection integrity by ensuring photo evidence is taken on-site at the time of the inspection, not added after the fact from saved images.
Yes. When an inspector flags a defect during an inspection, Lumiform automatically creates a corrective action and notifies the responsible person by email. That person receives the details directly, including what was found, where, and any photos attached. They do not need a Lumiform license to receive the notification. This removes the need to write a separate note, send a WhatsApp message, or follow up manually. The responsible colleague gets the information right away and can confirm completion when the task is done.
Both options are available. In the template settings, you can add external email addresses so that a completed report is sent automatically to specified recipients as soon as the inspection is submitted. No manual step is required. Alternatively, after completing a form on mobile, the inspector can share the report manually using the device’s share function, including via email. For recurring recipients such as clients or department heads, the automatic option removes the manual step entirely and ensures reports go out consistently every time.
Yes. Lumiform provides a REST API and supports webhook-based automation. When an inspection is completed or an action is created, a webhook fires and passes the event and record ID to your external system. Your in-house developer can use the Lumiform Public API to retrieve the full task details and push them into your existing ticketing or dispatching system. This means Lumiform does not need to become the system of record for task resolution. Tasks are created in Lumiform and processed in your existing tools, which fits the paradigm of connecting to other systems rather than replacing them.
