Common questions

Are there ready-made templates we can use without having to build everything from scratch?

Yes. Lumiform includes a library of over 12,000 ready-to-use templates covering safety inspections, HACCP, cleaning protocols, maintenance rounds, quality audits, and standard operating procedures. You can pick a template, customize it to match your specific process, and have your team completing it on mobile the same day. You can also upload existing Word files, PDFs, or spreadsheets and use the AI tool to convert them into a digital form.

Can staff complete everything digitally on a device, since we need to stop paper checklists entirely?

Yes. Field teams complete forms on iOS or Android mobile devices, or via desktop browser. The app works offline, so staff in basements, production floors, or areas with no signal can still complete inspections and the data syncs automatically when connectivity returns. Photos, e-signatures, and annotations are all captured in the form. Every completed inspection generates a PDF report automatically, with no manual copying or scanning required.

If we spot a defect, can we assign a task with a deadline to the right person?

Yes. When a defect is identified during an inspection, you can create a corrective action directly in the form, assign it to a specific person, and set a deadline. The assigned person receives a notification in the app. Managers track open actions and completion status from the desktop dashboard, and actions stay visible until they are resolved.

Can we stop certain users from seeing or editing forms that aren’t meant for them?

Yes, Lumiform uses roles and groups to control who can see, complete, and edit each form. You can configure a user so they only see the forms assigned to them and cannot access or modify templates belonging to other teams or locations. Admins manage these permissions from the Administration section on desktop. This also supports multi-site setups where, for example, one location must not see another location’s data or forms.

Can we get a verifiable record proving each employee actually read and acknowledged this?

Yes, within the inspection and form workflow. You can build a form that requires an e-signature from the employee before submission, creating a timestamped record that a specific named user completed and signed off on the content. The change log feature records who did what and when. For SOP use cases, you can attach the document to a form question and require the employee to confirm they have reviewed it before proceeding.

If someone answers no, can the form automatically branch to a different set of questions?

Yes. Lumiform’s form builder includes conditional logic, so you can configure a question to show or hide follow-up sections based on the answer given. If an employee answers no to a critical check, the form can branch to a specific set of follow-up questions, trigger a required corrective action, or stop the form entirely with a note explaining why. You set this logic in the form builder without any coding or IT involvement

Can we see which specific checklist items haven’t been ticked, filtered by area and time period?

Yes. The Analytics section lets managers filter inspection results by location, time period, user, and category. You can identify which specific questions are consistently left unanswered or marked as failed across a set of submissions. This gives you a factual picture of, for example, which surgery room setup steps were skipped over the last month, rather than just knowing that a form was submitted. Reports can be downloaded for further review or shared with auditors.

Can we keep SOPs, work instructions, and reference documents alongside our forms?

You can attach SOPs, work instructions, specifications, PDFs, images, and other reference documents directly to forms, so employees can access the information they need while completing tasks. Documents stay linked to the relevant process, reducing the need to switch between systems. You can also convert existing PDFs and spreadsheets into digital workflows and checklists.

Is it possible for the form to automatically display in the employee’s own language without us maintaining separate versions?

Yes. Lumiform supports more than 60 languages and can automatically translate form content using AI. This allows employees to complete the same workflow in their preferred language without maintaining separate versions of the form, helping teams stay consistent across locations and languages.

Can we add approval steps to our SOP workflows?

Yes. You can build approval workflows into SOP processes, ensuring forms, deviations, corrective actions, or completed tasks are reviewed before moving forward. Approval steps can be assigned to specific individuals or groups, and workflows can be configured to match your internal review process.
