kaisin. is a dynamic hospitality company specializing in healthy bowls. Quality and Process Manager Manuel Suppiger explains how Lumiform has helped them increase efficiency, reduce paper usage, and improve quality assurance. Learn how Lumiform simplifies daily operations at kaisin.

This is kaisin.

As a dynamic and innovative hospitality company, kaisin. specializes in creating and selling fresh, healthy bowls. Since its founding in 2017 (initially as a pop-up store), kaisin. has opened eleven locations in Zurich, Basel, and Zug, offering both in-store and delivery services. The concept of kaisin. revolves around selling healthy bowls with a focus on in-store business and delivery service.

Manuel Suppiger, who has been with kaisin. for five years, is now responsible for quality and process management. As the driving force behind the implementation of Lumiform, Manuel discovered and introduced the tool to elevate efficiency and quality assurance at kaisin. to a new level.

The challenge

As kaisin. expanded to eleven locations, the company inevitably faced several challenges: adhering to legal hygiene regulations and documenting them became increasingly complicated. Paper lists for cleaning and temperature checks were not only confusing but also extremely time-consuming.

It was difficult to keep track and respond quickly to issues: “Handling all the paperwork was very tedious,” Manuel reports. “Whenever something was updated, all the lists at all locations had to be changed. It was nearly impossible to keep up.”

Manual management often led to delays and involved a high administrative burden. Therefore, kaisin. decided to look for a more efficient method to improve quality assurance, reduce paper usage, and optimize processes.

In search of an efficient digital solution, kaisin. came across Lumiform. Although Manuel and his team evaluated several tools, Lumiform stood out due to its user-friendliness and flexibility.

The ability to customize forms and the intuitive interface made Lumiform the ideal choice for kaisin. New employees can quickly start using the tool without extensive training. Another crucial factor was Lumiform’s excellent support: “The support was really good. We always received a response within a few hours,” Manuel emphasizes.

The implementation

The first use case for Lumiform at kaisin. was the digitization of cleaning and temperature checklists. Previously, these were manually maintained on paper, which was time-consuming and prone to errors. The implementation of Lumiform began with comprehensive management training, where the on-site managers were trained. “We really took the time to sit down with each site manager and discuss the specific requirements,” Manuel explains.

The introduction of the tool was carried out on multiple levels: First, the checklists were digitized and uploaded into the Lumiform software. Then, the employees at each location were trained. The younger employees, in particular, quickly adapted to the new technology: “Lumiform is very easy to use, and we received a lot of positive feedback from new employees,” Manuel reports.

“Everything runs smoothly now,” Manuel adds. “As management, we can react quickly, define, implement, and document measures, and thus absolutely ensure that quality assurance is always maintained.”

Results

Time savings and increased efficiency

The centralized management and real-time monitoring of tasks and actions enabled the team to respond to issues more quickly and implement necessary measures immediately. This improved processes and allowed kaisin. to reduce its administrative burden. “Thanks to Lumiform, we save a massive amount of time and can achieve a higher level of quality,” Manuel emphasizes.

Improved Quality Assurance

Another major advantage was the improvement in quality assurance. With Lumiform, kaisin. can manage compliance with hygiene regulations and documentation much more efficiently. “With Lumiform, I have absolute control in real time,” explains Manuel. “We monitor critical control points (CCPs), such as maintaining the cold chain for salmon. If these CCPs are exceeded, an email is automatically sent to me, so I can react immediately. This is my favorite feature from a quality management perspective.”

  • Goods Receipt and Dispatch: Temperatures and conditions of goods are documented upon arrival and departure to ensure quality.
  • Food Waste Tracking: Food waste is documented and analyzed through Lumiform to identify optimization potentials.
  • Cleaning Processes: Cleaning lists are managed and tracked digitally to ensure all tasks are properly completed.

Another exciting project is the integration of a digital pre-onboarding and training tool. “We want to make knowledge accessible to employees at any time, which will make our work easier,” explains Manuel. The idea is to link checklists with training videos so that employees can directly access relevant content when performing a task.

A simple example: If the evening checklist includes cleaning the coffee machine, a link should lead to a training video that explains the cleaning process in detail. This integration of checklists and training content aims to further improve the efficiency and quality of employee training.

kaisin. is also excited about the future features and improvements that Lumiform will offer. “I am curious to see what else Lumiform has in store, and I believe we can use the tool even more diversely,” says Manuel. As a young and innovative company, kaisin. is always ready to explore new ways, further optimize its processes, and utilize new features.

Manuel’s tips: How to succeed in digitalization

Manuel has clear recommendations for other companies considering the digitalization of their processes: “I think the most important thing is to consolidate and see what you really need and what makes you more efficient,” he emphasizes. It’s about focusing on a few but effective tools and implementing them thoroughly.
