Common questions

If a task goes overdue, who gets notified and how fast?

When a task passes its deadline, Lumiform automatically sends a notification to the assigned supervisor. You configure who gets alerted and under what conditions, so managers are not waiting to find out something was missed. This replaces the manual chasing that happens when everything runs on paper or WhatsApp. Notifications go out immediately when the overdue threshold is hit, not the next time someone remembers to check a spreadsheet. Supervisors get the alert; the employee sees the overdue task flagged in their app.

Can I set a checklist to run daily, weekly, and with a hard deadline?

Yes. Lumiform lets you schedule checklists at daily, weekly, monthly, or custom intervals, and you can set a specific deadline for completion, for example every Friday by 12:00. Scheduled forms appear automatically in the assigned employee’s app when they are due. If a form is not completed by the deadline, it shows as overdue and triggers notifications. You can also configure different schedules for different days of the week, so a question that only applies on Tuesdays and Thursdays appears only then.

Can I force employees to complete all fields before they close the checklist?

You mark individual fields as mandatory in the form builder, and employees cannot submit the checklist until those fields are filled. This directly addresses the problem where optional fields get skipped every time. You control which fields are required and which are optional, so you can find the right balance without making the entire form feel like a burden. Mandatory photo fields, numeric inputs, and text fields all work the same way: the form does not close until the required answer is provided.

When something’s wrong, how does the corrective action get assigned and tracked?

When a checklist answer flags an issue, Lumiform automatically triggers a corrective action and routes it to the responsible person. That person receives a notification in the app. You can track the status of every open action from the desktop dashboard, see who it is assigned to, and follow it through to resolution. Nothing falls through the cracks because the action lives in the system, not in a Teams message or an Excel list that someone has to remember to check. Managers see what is open, in progress, and resolved in real time.

Can multiple workers share one login but still be tracked individually per submission?

Lumiform’s licensing model is user-based, and each submission is tied to the account that completed it. If workers share a single login, individual tracking per submission is not reliable. For operations where accountability matters, for example knowing exactly who ticked off a task or signed off a check, each worker needs their own account. Lumiform does support shared devices, so a tablet in a shared area can be used by multiple people as long as each person logs in with their own credentials before completing a form.

Can a question appear only when a specific answer is selected earlier in the form?

Yes. Lumiform’s form builder includes conditional logic. You set a rule so that a follow-up question, a text field, or an entire section only appears when a specific answer is selected. For example, if an employee selects “bad” for a site condition, a mandatory description field appears. If they select “good,” it does not. This keeps forms clean for routine completions and ensures the right detail gets captured when something is actually wrong, without adding friction to every submission.

Can multiple parties sign the same checklist, and is that signature legally binding?

Multiple parties can sign the same checklist in Lumiform. You can configure which roles or individuals are required to sign, and each signature is captured digitally within the form. The signed report is stored with a timestamp and is available as a PDF. Whether a digital signature meets the legal standard in your specific jurisdiction depends on local regulations, but the signature is captured with a verifiable record of who signed and when, which satisfies documentation requirements in most operational and compliance contexts.

Can employees attach a photo as proof when they tick off an item?

Yes. Employees can attach photos directly to any checklist item during the inspection. You can also make the photo mandatory, so the item cannot be marked complete without an image attached. This is the difference between a tick on paper that proves nothing and a timestamped photo that shows the actual state of the room, equipment, or task. Photos are stored with the completed report and are visible in the PDF output and on the dashboard, so managers can review them without being on-site.

If authorities ask for records from six months ago, how quickly can I pull them?

Completed inspections are stored in Lumiform with timestamps, and you can filter by date, location, form type, or user. Pulling records from a specific date takes seconds, not hours. This directly replaces the situation where an authority inspection means three hours of searching through folders to find which date something was filed under. Reports are available as PDFs and can be downloaded or shared immediately. The audit trail is built automatically every time a form is submitted, with no manual archiving required.

If the phone shuts down offline mid-form, does the data survive?

Yes. Lumiform saves form data locally on the device as you fill it out. If the phone shuts down mid-form, the data persists through the shutdown and the form reappears as a draft when the app reopens. Once connectivity is restored, the completed form syncs automatically. This also means that submitting a form on a poor connection does not block the user from moving to the next form. The submission queues in the outbox and sends when the connection allows, without holding up the workflow.
