Frequently asked questions
Yes. When you create an action during or after an inspection, Lumiform assigns it to the responsible person and triggers automatic notifications. This replaces the manual process of tracking open items in Excel, then chasing colleagues by email. The assigned person sees the task in their Lumiform inbox on desktop or mobile. Overdue actions are flagged automatically. You no longer need to personally remind people or maintain a parallel Outlook task list to know whether something has been closed.
Yes. You can build a single checklist in Lumiform that covers questions drawn from multiple standards. Use the AI form builder to construct a combined question set that addresses ISO 9001, 14001, and 45001 requirements in one audit, with pre-made templates also available. This eliminates the need to jump between three separate checklists during a combined audit, streamlining your process and keeping all relevant questions in one place for your auditors.
Yes. Lumiform keeps an edit history for audit templates in the Forms area on desktop, so you can see when a checklist was updated and by whom. Because previous versions remain accessible, you can review an earlier version when you need to align teams back to an approved structure. This makes it easier to keep multi-site audits consistent over time, while maintaining a clear record of how your templates evolve
Yes. Once an inspection is completed, Lumiform generates a report that you can download and share as a PDF. The report includes the completed checklist, findings, and associated actions. If corrective actions have been closed, that status is visible in the report, so when you submit it in a sustainability questionnaire or hand it to an auditor, the reviewer can see both the deviation and its resolution. You can also configure how the report is structured before exporting.
Lumiform’s template library includes ISO 14001 templates. You can access these directly without building from scratch. You can also duplicate and adapt any template to match your specific audit scope. If you need to target only certain clauses based on previously identified deviations rather than running through the full standard, you edit the template to include only the relevant questions. The AI tool can also assist with building or adapting templates if you want to accelerate setup beyond what the existing library covers.
Lumiform is a cloud-based solution that stores data securely in certified data centers located in Frankfurt, Germny. The platform uses robust encryption during transmission, storage, and processing, and supports access controls with two-factor authentication available. It is GDPR compliant and adheres to global privacy and security standards including SOC2 (Type 2), ISO 27017, and ISO 27018.
Lumiform’s Analytics section lets you filter and analyze inspection results over time, giving you visibility into whether corrective actions are actually working. After you close a corrective action tied to a specific finding, such as a missing spill kit or an incomplete waste segregation procedure, you can track whether that same deviation appears again in subsequent audits at the same site or across other locations. The platform allows you to filter by question, site, or finding type, so you can compare audit results before and after the action was implemented.
Completed inspections and their reports are stored in Lumiform and accessible through the Forms section on desktop. You can filter completed forms and download reports at any time. For compliance purposes, such as retrieving a specific inspection record tied to a part number or a regulatory audit, the data remains accessible within the platform.
Yes. Lumiform lets you schedule forms in advance and assign them to specific users, teams, or departments. When you schedule an audit, the assigned person receives a notification that an inspection is coming and can see which template will be used. This gives department heads visibility into upcoming audits so they can prepare. If you want to communicate the exact norm clauses or specific questions that will be covered during the audit, you can share the template itself with the auditee beforehand.
Yes. When you assign a task to an external collaborator, they receive it via email and can update the task status directly from there without logging into Lumiform. This means you can assign corrective actions to suppliers, contractors, or external auditors during a customer audit on-site, such as requesting a certification or asking for documentation, and they can respond and mark tasks complete through the email notification itself. The task status updates automatically in your Lumiform dashboard, so you maintain visibility over external actions without requiring the external party to create an account or learn a new platform.
Yes. Lumiform’s form builder supports multiple response types per question, and you can add photo attachments, comments, and file references alongside the answer field. This allows you to record both the compliance answer and the corresponding evidence or proof reference for each question. Photos attached to a question appear directly in the report under that question.
