Pacific Fire & Security Systems is a fire and security company specializing in the installation and maintenance of fire detection systems, CCTV, access control, fire stopping, and passive fire protection. With 70 employees, the company is dedicated to ensuring safety and compliance, utilizing digital tools to enhance efficiency and data management.

The challenge

Before embracing digitalisation, Pacific Fire & Security relied mostly on paper-based methods for documentation and compliance. This approach was time-consuming and inefficient, prompting the company to explore digital solutions: “The shift to digital was driven by the need for time savings and reliable data backup,” Mark recalls.  Around 2021-2022, they transitioned to a digital tool, iAuditor, to improve time efficiency, ease of use, and data backup.

Compliance with regulations such as GDPR and data protection also necessitated maintaining records for up to 15 years. This requirement further highlighted the importance of a robust digital platform. “The need to keep records for 15 years under GDPR made it clear we needed a reliable digital solution,” Mark explains.

As their operations grew, the need for a platform that could efficiently handle repetitive audits became clear. This led them to seek a more comprehensive tool, ultimately guiding them to Lumiform.

Solution and implementation

Pacific Fire & Security found their solution in Lumiform, a platform that addressed their requirements for efficient audits and compliance management. “Lumiform filled all the tick boxes we needed,” Mark Oliver notes, highlighting features like multiple user access, a mobile platform, and editable templates as crucial for their operations.

The transition to Lumiform was swift, taking only a few weeks. This efficiency was supported by Lumiform’s team, who helped customize templates to fit the company’s specific needs. “The process was straightforward, and the support team ensured everything was set up perfectly,” Mark recalls.

With around 110 templates now in use and approximately 20 employees utilizing the platform, Lumiform has become an integral part of their operations, enhancing data capture and streamlining audits.

Results and benefits

Since implementing Lumiform, Pacific Fire & Security has seen significant improvements in their operations. The platform has enhanced tracking and traceability of audits and inspections, allowing for more accurate data collection and management. Mark highlights the impact: “We’ve been able to tweak forms for better data collection, which has been invaluable.”

The ease of use for engineers in the field is a standout feature. “From the end user’s point of view, it’s very simple. You can just swipe through the screens,” Mark notes, emphasizing how intuitive the platform is for those conducting audits and inspections.

This user-friendly design, along with scheduled audits, has led to considerable time savings. “Time saving and compliance have been our biggest wins,” Mark adds. “We can quickly download and send required documents during third-party audits, which simplifies the process immensely.”

Overall, Lumiform has become an essential tool, improving operational efficiency and ensuring compliance with industry standards.

Future plans 

Pacific Fire & Security plans to continue leveraging Lumiform as new needs arise. The platform’s flexibility makes it the first choice for any new requirements that emerge. “As and when a requirement comes up, Lumiform is the first tool we consider,” Mark shares during our conversation.

While they are open to exploring new features, the priority remains on maintaining stability and functionality. The company is committed to using Lumiform to enhance their operations further, ensuring they remain at the forefront of efficiency and compliance.
