Does Lumiform support full risk assessments and operating instructions, not just checklists?

Yes. Lumiform supports risk assessments, safety audits, hazard assessments, and compliance checks alongside standard checklists. The no-code form builder lets you configure complex, multi-section forms with conditional logic, so questions adapt based on previous answers. You can attach reference documents, operating instructions, or safety manuals directly to individual questions so field teams have everything they need on-site. Over 12,000 ready-to-use templates are available, including risk assessment formats you can customize to your specific requirements.

If we start an inspection underground with no signal, does it sync when we’re back online?

Yes. The Lumiform mobile app works fully offline on iOS and Android. Field teams complete inspections, capture photos, and record findings without any network connection. Once the device regains signal, all data syncs automatically to the platform.

Can we see open and completed actions across all sites in one dashboard?

Yes. The Lumiform desktop dashboard gives operations managers and health and safety leads a real-time view of open and completed actions across all sites simultaneously. You can filter by site, team, date, or status without clicking into individual records. This directly replaces the situation where nothing is visible unless you manually check each location or call colleagues to find out what has or has not been done.

How do we see which sites haven’t completed their hazard assessment and reach them directly?

From the analytics dashboard, you can filter inspection completion by site, form type, and date range. Sites with incomplete or overdue hazard assessments appear clearly without you having to open individual records. From there, you can send notifications directly through the system to the responsible person or site manager.

Is a signature field available, or are completed reports considered invalid without one?

Lumiform includes e-signature fields that can be added to any form. Inspectors, supervisors, or clients can sign directly on the mobile device during or at the end of an inspection. The signature is captured and embedded in the auto-generated PDF report. For equipment inspections and compliance audits where a report without a signature is not considered valid, this is included as standard functionality and does not require a separate add-on or workaround.

If a supervisor marks an action done, does it close automatically or wait for approval?

This depends on how you configure the workflow. By default, marking an action as done closes it. However, with the Approvals add-on, available on the Professional plan as an add-on and included in the Enterprise plan, you can require a manager to review and approve before an action is formally closed. The person who created the action, or a designated approver, must sign off before the status changes. This gives safety managers full control without actions disappearing from the queue prematurely.

Can a manager reject a submission and send it back for more evidence before it’s archived?

Yes, with the Approvals module enabled. A designated approver can review a submitted form or action, request additional evidence such as photos or written clarification, and send it back to the submitter before it is finalized. The submitter adds the required information and resubmits. The full review history is logged, so there is a traceable record of what was requested, who responded, and when the submission was ultimately approved. This workflow is available on Professional as an add-on and on Enterprise as standard.

Can we document a single defect on-site without running through a full checklist?

Yes. You can create a standalone action directly in Lumiform without starting or completing a full inspection form. On-site, you open the app, log the defect, add a photo, set a priority, and assign it to the responsible person. This is useful when you spot an issue during an unplanned walkthrough and do not want to run through an entire checklist. The defect is tracked in the same system as all other actions, so nothing gets recorded separately or lost.

When a defect is found, can the responsible person close it by attaching a photo as evidence?

Yes. When a corrective action is assigned, the responsible person receives a notification and can open the action on their mobile device. They complete the required work, attach a photo as evidence of resolution, and mark it as done. If an approval workflow is configured, the action then moves to the approver for sign-off before it closes. Every step is logged with timestamps, so the full history from defect identification to resolution with photographic evidence is available in one place.

Where is data stored, and how is data security handled?

Lumiform stores data on AWS Frankfurt servers, which satisfies European data residency requirements and GDPR compliance. The platform complies with SOC 2 Type II, ISO 27017, and ISO 27018 standards as well. If your IT or data security team needs specific documentation for review, the Lumiform team can provide this directly.
