Will temperature sensors send readings automatically, or do staff still have to check manually?

When connected, data loggers transmit readings directly into the platform so staff no longer need to walk around manually checking and transcribing temperatures. You get live data visible on the desktop dashboard, and the system triggers alerts when a reading falls outside your defined thresholds. For locations not yet using sensors, staff can still log temperatures manually in the app. The goal many customers share is a fully closed concept where no one has to be sent around to measure temperatures by hand.

Does Lumiform track every change with a date stamp so we can prove version history?

Every inspection submission carries a real, unalterable timestamp. Administrators can view the edit history of templates, and completed reports cannot be modified by standard users after submission. This prevents the common problem of staff filling in checklists retroactively and then adjusting entries. For organisations operating under IFS Food or similar standards that require version-controlled documentation, Lumiform records when changes were made and by whom. Administrators retain full control over who can edit what, so the audit trail stays clean and defensible when a certification body or authority asks for proof.

If a colleague skips a check, can someone fill it in afterwards and will that be visible?

If a scheduled check is missed, a manager or administrator can see it flagged as overdue on the dashboard in real time. Another team member can still complete the form after the deadline, and the system records the actual submission timestamp so the late completion is visible and traceable. Administrators can review what was completed on time versus what was filled in late. This removes the risk of retroactive paper entries that look identical to on-time ones, which is a compliance gap that paper-based processes cannot close.

When an inspector asks for a specific record, how quickly can we pull it up?

You filter by form type, date, or location and the relevant record appears immediately. There is no scrolling through sequential entries or searching through physical folders. Customers who previously spent an hour at the PC with an authority inspector while staff desperately searched for documents describe this as one of the clearest improvements Lumiform delivers. Completed reports are stored centrally and accessible from any browser. If the inspector wants a printed copy, you generate and print the PDF directly from the platform in the same session.

Once I log a deviation, how does the responsible person get assigned and how do I know it’s done?

When you log a deviation during an inspection, you assign it directly to the responsible person as a corrective action. They receive a notification and see the task in their app. You set a deadline, and the system tracks status in real time. You no longer need to chase by phone or email and then physically check whether anything happened. When the responsible person completes the action, they document it with a photo directly in the app. The action closes with a timestamp and photo record, giving you full traceability without any manual follow-up.

Can employees sign off digitally on the form, and can we restrict who signs which field?

Employees sign directly in the app using the e-signature feature. You can configure role-based access so that, for example, only a department head or administrator can sign a specific field, while other users complete the rest of the form. This replicates workflows where one person conducts the check and a second person reviews and countersigns. Signatures are tied to the user account and timestamped, so you know exactly who signed what and when. This removes the need to pass paper forms between people across shifts or departments.

Can workers select their own language on a shared device before filling out a form?

Yes. Lumiform supports manual language selection at the point of use. A worker opens the app on a shared device and selects their language before filling out the form. This does not depend on the device’s system language settings, which means it works in production environments where workers are not allowed to bring personal phones and where you cannot predict in advance who will be at a station on a given day. The platform supports over 60 languages, covering the multilingual workforces common in food manufacturing and logistics operations.

Does the app run on MDE devices, and does it work the same as on a smartphone?

The Lumiform app runs on Android-based MDE devices and on iOS and Android smartphones. The mobile experience is consistent across device types: workers complete inspections, log deviations, take photos, and submit forms the same way regardless of which device they use. For EDEKA operators, the app is pre-installed on MDE devices through the EDEKA partnership, so there is no separate installation step. Staff log in using their existing credentials, including 8-digit national employee IDs, and access their assigned forms directly on the device already in their hands during goods receiving or floor checks.

Can we scan traceability labels directly into the system instead of transcribing them by hand?

The Lumiform mobile app includes a barcode and text scanning feature. Instead of physically collecting beef traceability labels, cleaning them, and manually transcribing each number into a list, staff scan the label directly in the app and the data populates the form automatically. This eliminates the manual transcription step that currently creates traceability gaps when you have ten, twenty, or thirty different label numbers from a single day. The scanned data is stored with a timestamp against the relevant inspection record, giving you a complete and accurate audit trail for every delivery.

Is the price per user, per location, or something else and are there any costs on top?

Pricing is per user, not per location. A single licence works across multiple sites, so one admin account covers both markets without needing a separate licence per location. Paid plans start at $115 per month with five users included. You can start with a small package and add users as your rollout expands. Integrations such as API access and Single Sign-On are available as add-ons on the Professional plan or included in the Enterprise plan. There are no hidden usage charges on top of the per-user fee. The sales team provides written pricing so you can present it to decision-makers for approval.
