Can the system really support HACCP documentation required for IFS audits?

Can sensor data feed in automatically, or does someone still have to log it manually?

For operations not yet using connected sensors, field staff log temperatures directly in the mobile app on-site. The goal of eliminating paper temperature lists and the manual Excel transfer step is achievable either way. If the inspector asks for a specific batch, can I pull it up immediately?

Completed inspections are stored digitally and searchable by filter criteria including batch number, article, date range, and location. Instead of scrolling through sequential records or searching physical folders, you filter and retrieve the relevant documents immediately. For operations handling high volumes like 20 to 25 meat deliveries per day, this means an inspector asking for a specific batch gets the full documented history in seconds, not after a manual search through binders.

Can I build a cleaning plan tied directly to the equipment, with all the criteria in one place?

In Lumiform you can create a form template linked to a specific piece of equipment, with all the relevant criteria built in: cleaning concentration, procedure steps, target values, and frequency. That template then becomes the basis for the actual cleaning check. When the check is carried out, the worker follows the plan directly in the app. Everything sits in one place, and completed checks are stored against that equipment record for traceability.

If someone answers no, does a follow-up step trigger automatically inside the same form?

Yes. Lumiform’s conditional logic triggers follow-up questions or required fields within the same form based on a specific answer. If a worker answers no to a critical check, the form can immediately prompt the next required step without opening a separate linked form. This keeps everything in one place, which directly addresses the frustration of having a follow-up form open ten minutes later with no clear connection to the original record.

What stops staff from filling everything in retroactively right before an inspector arrives?

Lumiform captures a timestamp for every entry at the moment it is submitted. Forms completed in the app record when each response was entered, making retroactive bulk completion visible and traceable. Scheduled forms are pushed to devices at the required time, and managers see in real time whether tasks have been completed on schedule. This removes the current situation where someone quickly fills in temperature logs when the food inspector shows up, because the timestamp tells the true story.

Can the batch number and best-before date carry over automatically instead of being entered manually?

This depends on whether Lumiform is connected to your ERP or MES system via API or integration. Where that connection exists, batch numbers, best-before dates, and article descriptions can be pulled in automatically so workers do not enter them manually. Without the integration, workers enter them directly in the app. For operations where ERP data already defines these values, the integration is the step that eliminates manual entry and the transcription errors that come with it.

When I log a deviation, can I assign the corrective action to someone on the spot?

Yes, during or immediately after an inspection, you assign a corrective action directly to the responsible person from within the form. You set a deadline, add context, and the assignee receives the task in the app or by email. This replaces the current process of chasing people by phone and email with no visibility into whether anything has happened. The person who receives the action can document completion with a photo directly in the app, so you do not have to go on-site to verify.

Can a photo be attached directly to the deviation it belongs to, right there in the form?

Yes. While completing an inspection on the mobile app, you take a photo and attach it to the specific question or deviation it relates to. The photo is stored against that item in the report, not in a separate folder or pasted into an Excel file later. You can also annotate photos to mark exactly where the issue is, which replaces the current workaround of writing directly on a photo to avoid carrying a separate notepad.

How do we make sure an old version of a document can’t be presented as the current one?

Lumiform stores all completed inspections digitally with timestamps, version history, and an audit trail showing when each form was submitted and by whom. There is no paper document to rewrite before an audit. When a checklist is updated, the new version is what gets used going forward, and previous completed records remain archived and accessible. This eliminates the situation where a handwritten document gets altered before an audit and then has to be rewritten from scratch to be presentable.

What happens to data already entered if the internet drops mid-inspection?

The Lumiform mobile app works offline. If the connection drops during an inspection, the app continues to function and saves all entries locally on the device. Data syncs automatically once the connection is restored. Nothing is lost. This directly addresses the WiFi reliability problems that caused issues with previous tools in areas like meat departments or production floors where network coverage is inconsistent. Workers complete the full inspection without interruption regardless of connectivity.
