Common questions
Yes. In Lumiform, administrators create master templates in the Template Builder, then configure and publish specific inspection checklists from those templates. Once released, field users see only the forms assigned to them and can conduct on-site inspections via the mobile app. Scheduling, assignment, and access control all sit in the desktop administration layer, so your team can bundle and steer that centrally before anyone sets foot on a site.
Lumiform does not push data directly into a case management system out of the box. However, the API enables your team to extract completed inspection data and route it into a specialist procedure or case management system. The exact automation between Lumiform and your internal system requires API configuration on your side or with integration support.
The Lumiform API is available, and connecting Lumiform to an Enterprise Service Bus is technically feasible via that API. Lumiform does not document a pre-built ESB connector, so the integration would be built on your side using the API. This is consistent with your stated future requirement of routing inspection data directly into your ESB and then into your case management system.
The Administration section in Lumiform gives you centralized control over users, groups, roles, and permissions. You can manage who accesses which templates, assign forms to specific groups, and control what each user can see and do. Starting with approximately 50 users and scaling toward 100 to 200 over time is supported within this structure. Your team can add users, adjust permissions, and expand access without restructuring the entire setup.
Lumiform operates as a cloud-based platform. There is no on-premise deployment option. The desktop version runs via browser and the mobile app runs on iOS and Android. Since your team has already confirmed cloud-only is acceptable, this is not a blocker. All data, templates, reports, and user management sit in the cloud, with integrations available to connect to external storage or database systems as needed.
A framework contract covering three to five years aligns with your stated expectation for a long-term solution. Lumiform’s standard subscription model supports multi-year arrangements, and the sales team can provide guidance on structuring this. The specific terms, including pricing, user scaling provisions, and renewal conditions, would be agreed during the commercial negotiation. Raising the three-to-five-year horizon early in discussions gives both sides the basis to structure a contract that fits your budget planning cycles.
API access is available as an add-on with the Professional plan or is included in the Enterprise plan. Whether API setup support or training is included in the contract or bookable separately is a commercial question for Lumiform’s sales team. Clarifying the support scope during contract negotiation will determine how much implementation assistance Lumiform provides versus what your team handles internally.
