Yes. You configure the schedule in the form settings, and Lumiform generates the inspection tasks at the times you define. Each scheduled check appears in the Pending section of the app when it is due. Employees see what needs to be completed and when. If a check is not completed by its deadline, it shows as overdue. Managers can see overdue items in real time on the desktop dashboard without having to contact staff directly to find out what was missed.
Completed inspection reports are stored and searchable by form type, date, and location. On the desktop, you go to Forms and filter submitted reports by the specific inspection template. You can pull up every completed check for a specific date in seconds. Reports are generated automatically after each submission, so there is no manual filing involved. During an authority inspection, you can show the auditor a filtered list of the records and open individual reports directly from the screen.
You can link a QR code to a specific form in Lumiform. An employee scans the code and the correct form opens immediately. This works well for area-based workflows, for example a QR code at the goods receiving bay that opens the goods receipt checklist, or a code in the cold storage area that opens the temperature monitoring form. Each QR code links to one form.
A missed check can still be completed after the scheduled time. The form will record the actual timestamp of when it was submitted, not the time it was originally due. Lumiform does not allow backdating of submissions, so the record will show that the evening check was completed late rather than on time. This is visible to managers in the dashboard and in the report. The overdue status is also logged, which gives you an accurate picture of compliance.
Every form submission in Lumiform is timestamped at the moment it is submitted. Employees cannot change the submission timestamp after the fact. If a check is completed two hours late, the record shows the actual time of submission and the overdue status. This is a core requirement for audit-ready documentation and is one of the key differences from paper-based. Managers and auditors see the real completion time for every inspection in the report.
