Common questions

Can we customize the PDF report layout, or is it fixed?

You can customize the PDF report layout. In the Template Builder, there is a dedicated “Customize report” section where you control how the final report looks. You can configure which fields appear, how sections are structured, and what gets included in the output.

When a check fails, does a corrective action get triggered automatically, or does someone have to add it manually?

Corrective actions can trigger automatically based on inspection responses. You configure the logic in the form: if a specific answer is given, such as a failed check or an out-of-tolerance reading, the system creates and routes a corrective action without anyone having to add it manually. The inspector sees the deviation, the action is generated immediately, and the responsible person receives it.

Can we see not just the count of overdue actions but the actual content of each one?

Yes. In the Actions section on the desktop, you can click into each individual action and view its full content, not just a count. You see what the issue was, which inspection it came from, who it is assigned to, and its current status. The Analytics section also lets you filter and drill into inspection results across locations. This gives you the ability to act on specific deviations rather than just monitor aggregate numbers.

Will each report section display only its own photos, not merged across sections?

Photos captured during an inspection are tied to the specific question or section where they were taken. In the report, photos appear in context with the relevant section rather than being pooled together at the end. This directly addresses the problem of photos being joined together without section breaks, which makes it impossible to match an image to the specific defect or check it belongs to. Each section’s evidence stays with that section in the final output.

Can we make a photo mandatory before the inspector can move to the next step?

Yes. You can configure form questions to require a photo before the inspector can proceed. This is set up in the Template Builder using question-level settings. For visual inspection workflows, this means an inspector cannot skip past a check without capturing the required image evidence. It enforces the documentation standard at the point of inspection rather than relying on the inspector to remember.

Can AI automatically check whether a photo meets our inspection standards?

Yes, Lumiform’s AI can analyze photos during an inspection and validate them against predefined requirements. Teams receive immediate feedback on whether the image meets the expected standard, helping inspectors identify deviations on the spot instead of during report review. This allows issues to be corrected immediately and improves consistency across inspections.

Is it possible for a defect entry to repeat, capturing type, quantity, notes, and reference image each time?

Yes. Lumiform supports repeatable entries within an inspection. Each defect can capture structured information such as defect type, quantity, notes, measurements, and photo evidence. Inspectors simply add another defect entry when needed, creating a complete record of all findings without duplicating the entire inspection form.
