Common questions

Can the entire audit, from planning through sign-off, be handled inside the platform?

Yes. Managers schedule inspections, assign them to specific users or teams, and set recurring intervals directly in Lumiform. Field teams complete the inspection on mobile, capture photos, and collect e-signatures on-site. Corrective actions get assigned and tracked to resolution. Managers review results on the desktop dashboard and auto-generated PDF reports are produced at completion. Every step from scheduling through sign-off happens inside the platform without switching tools.

Is it possible for inspectors to sign directly in the app on-site?

Yes. Lumiform includes e-signature capture directly in the mobile app. Inspectors or supervisors can sign on-screen during or at the end of an inspection. The signature is embedded in the completed report. For oil and gas safety audits where an unsigned report is not considered valid, every submission includes a legally traceable sign-off without any separate paperwork step.

Can we see which sites completed their hazard assessment and ping the ones that haven’t?

The analytics dashboard shows inspection completion status across all sites in real time. Managers can filter by location, form type, or date range to see which sites submitted their assessment and which have not. For overdue sites, Lumiform sends automated reminders to the assigned users. If we start an inspection underground with no network, does it sync when we’re back?

Yes. The Lumiform mobile app works fully offline. Field teams start and complete inspections without a network connection, capturing responses, photos, and notes as they go. Once the device reconnects, the app automatically syncs all completed data to the platform. For teams working underground or in remote areas on oil and gas sites, this means inspection records are never lost due to connectivity gaps.

If an action isn’t closed on time, does the system escalate it automatically?

Lumiform sends automated reminders to the person assigned to an action when deadlines approach or pass. Whether the system automatically escalates to a supervisor depends on how your workflows are configured. Managers can track all open and overdue actions in real time on the desktop dashboard. For safety-critical findings on oil and gas sites, this visibility means overdue items get flagged before they fall through the cracks rather than discovered weeks later.

Can a manager reject a submission and send it back before it gets archived?

Approval workflows are available in Lumiform as an add-on on the Professional plan and are included in the Enterprise plan. With approvals enabled, a manager can review a submitted inspection and reject it, which sends it back to the submitter for correction before it is finalized. This supports scenarios where a safety audit report must meet a specific standard before it is accepted as a valid record.

Can the responsible person close a finding by adding a photo as evidence?

Yes. When a user completes a corrective action in Lumiform, they can attach a photo as part of the resolution. This gives the person who raised the finding visual confirmation that the issue was addressed. For oil and gas safety audits, this creates a traceable record: the original finding, who it was assigned to, when it was resolved, and photographic evidence of the corrective work completed.

If we tap ‘No’ on a checklist item, does it trigger a sub-checklist automatically?

The Lumiform form builder includes conditional logic. You configure specific responses, such as a “No” answer on a safety check, to automatically show follow-up questions, additional fields, or a sub-checklist. Field teams only see the questions relevant to their situation. For oil and gas inspections, this means a failed equipment check can immediately prompt a structured follow-up sequence without the inspector having to navigate to a separate form.

Can corrective actions be assigned to an external contractor, not just internal staff?

Yes. Corrective actions can be assigned to external contractors as well as internal employees. Assigned users receive an email notification with the action details, deadline, and required follow-up. This allows oil and gas operators to route findings directly to the contractor responsible for the work while keeping progress and closure records visible in the same system.
