Common questions

How can we prove a task was actually done, not just claimed as done?

The problem with paper is exactly this: staff write “done” on a sheet and nobody checks. With Lumiform, every completed inspection is timestamped, geo-tagged, and tied to the specific user who submitted it. Staff can attach photos as supporting documentation, and a supervisor can review and approve submissions to ensure accuracy. Managers have real-time visibility into completion status via the dashboard. If a task is skipped or overdue, it shows up immediately. This gives documented evidence of what was done, by whom, and when, which can be shown to auditors.

Does Lumiform work on both iOS and Android?

Yes, the Lumiform mobile app is available on both iOS and Android. This allows cleaning staff to use the devices they already have in place. Can tasks be set to repeat daily, twice a week, or monthly?

Yes. Lumiform supports configurable schedules for every form. Each location gets its own cleaning plan with the correct frequencies, whether daily or every several days. Staff see only what is due for them today. Nothing gets missed because the schedule is built into the system.

Will employees get a daily notification reminding them to fill out their form?

Lumiform sends notifications to staff when a scheduled form is due. For daily cleaning plans, employees receive a reminder that they still need to complete their form. This replaces the situation where tasks sit on a paper sheet and nobody follows up. The notification goes to the app on their device. Managers do not need to call staff by phone. The system prompts the right person at the right time, based on the schedule you configured.

After converting a PDF into a digital checklist, can it still be edited?

Yes. After a PDF is uploaded and converted into a digital checklist in Lumiform, you can edit it in the form builder. You can add or remove questions, adjust scoring scales, insert comment fields, and restructure sections. The converted form becomes a fully editable Lumiform template. This means your cleaning plans become live checklists you can update when processes change, without starting from scratch each time.

Can access to audit results be restricted by location?

Lumiform lets you control visibility by location. You set access so staff and managers at one site only see forms and results for their site. Location 1 can’t see the audit results from location 2. Head office accounts keep visibility across all locations for oversight and audits. This separation is handled in admin settings, so one site can’t access another site’s data or forms.

Can user permissions be configured to control who can edit forms?

Yes. Lumiform uses roles and permissions to separate who can edit templates from who can only complete them. Frontline staff can run inspections on assigned forms. Only authorized users, like team leaders or managers, can modify the template itself. This prevents accidental changes and keeps plans and checklists consistent across locations. You decide who gets editing rights when you set up roles.
